Job Summary:
We are seeking a detail-oriented and motivated Accounts Payable Specialist to join our growing finance team. This role is ideal for someone looking to begin their career in accounting or finance. You will be responsible for supporting the accounts payable function, ensuring accurate and timely processing of invoices, payments, and vendor communications. The ideal candidate has strong organizational skills, excellent attention to detail, and a desire to learn and grow.
Responsibilities:
Invoice Processing
- Review, verify, and accurately enter invoices into the accounting system.
- Match invoices with purchase orders and delivery receipts.
- Ensure proper approvals and compliance with company policies.
Payment Management
- Prepare and process payments, including checks, ACH, and wire transfers, in a timely manner.
- Resolve payment discrepancies and address vendor inquiries.
Vendor Communication
- Serve as a point of contact for vendors regarding invoices, payments, and account reconciliations.
- Maintain accurate and up-to-date vendor records in the system.
Reconciliation and Reporting
- Reconcile accounts payable transactions with vendor statements.
- Assist in the preparation of month-end and year-end closing reports.
Compliance and Documentation
- Organize and maintain accounts payable records and documentation for audit purposes.
- Ensure compliance with internal controls and accounting policies.
Team Collaboration
- Work closely with procurement, accounting, and other departments to resolve issues and improve processes.
- Participate in projects to enhance accounts payable workflows and efficiencies.
Qualifications:
- Bachelors degree in accounting, finance, or a related field (preferred) or equivalent work experience.
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Basic knowledge of accounting principles and accounts payable processes.
- Proficiency in Microsoft Excel and familiarity with accounting software or ERP systems (experience with Quantum (Component Control) is a plus).
- Effective communication and interpersonal skills.
- Ability to work both independently and collaboratively in a team environment.
