Summary:
- The Rhode Island Department of Health has retained Knowledge Services to provide a Project Coordinator.
- This position will support the Center for Healthy Homes and Environments.
- The Project Coordinator for Community Services will play a pivotal role in the administration and support of the RI Rental Registry and Lead Hazard Mitigation Program.
- This position involves the coordination, review, and processing of lead licensing and rental registration inquiries to ensure compliance with state regulations and statutory requirements.
- The Project Coordinator will maintain accurate records, engage with the public and stakeholders, and support program operations to advance the goals of rental registry and lead hazard mitigation.
- The role combines regulatory oversight, public interaction, and data management to promote safe housing conditions in Rhode Island.
Responsibilities:
- Application Review and Processing:
- Review and process licensing and registration applications for the RI Rental Registry and Lead Hazard Mitigation Program.
- Ensure compliance with applicable laws, policies, and procedures during the review and approval process.
- Identify incomplete or missing documentation and take action to obtain the required data.
Data Management:
- Maintain both manual and computerized records related to licensure and registration.
- Input and update data in the system, ensuring accuracy and compliance with program requirements.
- Generate licenses, registrations, and related documentation using computerized systems.
Public Engagement and Support:
- Respond to inquiries from licensees, landlords, and the general public in person, via phone, and through correspondence.
- Provide guidance and clarity on licensing requirements, policies, and procedures.
- Assist in the investigation of consumer complaints, escalating cases as needed.
- Make determinations whether proper documentation is submitted to cancel fines administered.
Clerical and Administrative Support:
- Perform general office tasks such as typing, filing, recordkeeping, and phone coverage.
- Maintain organized documentation and ensure accessibility of records for reporting and compliance purposes.
Collaboration and Communication:
- Coordinate with other program team members and external partners to streamline processes and address community needs.
- Contribute to outreach efforts and initiatives aimed at improving housing safety and awareness of rental registry and lead hazard mitigation.
Compliance and Quality Assurance:
- Ensure all submitted documentation meets program standards and legal requirements.
- Support audits and quality checks to maintain program integrity and effectiveness.
Qualifications:
- Demonstrated experience in licensing, registration, or regulatory programs preferred.
- Strong organizational and data management skills.
- Proficiency in computer systems, including data entry and electronic recordkeeping.
- Excellent communication and interpersonal skills, with a customer service-oriented approach.
- Familiarity with Rhode Island Rental Registry statute and lead hazard mitigation practices is a plus.
- Ability to manage financial transactions with attention to detail.
Education and Experience:
- Minimum education required: High School diploma.
- Past office experience required.
- Experience using computer software such as Outlook, Excel, Word, etc.
- Employment in a clerical or paraprofessional position involving the exercise of independent judgement in the review and preparation of documents and the processing of various transactions.
