Grants and Operations Assistant

Position Description:
The Inclusa Foundation is seeking a highly motivated and dedicated individual to join our team as Grant and Operations Assistant. The Grants and Operations Assistant will support the Program Officer to advance the Foundation’s charitable grantmaking programs throughout Wisconsin. This position provides an opportunity to experience various aspects of grants administration, Foundation operations, and communications. Primary responsibilities include the administration of grants and funded projects, information management, reporting and report analysis, and developing effective communications for the Board of Directors, Foundation partners, and the broader community. Specific duties include:
Grants Administration & Information Management
- Implement, streamline, and evaluate grants administration processes.
- Screen grant applications and reporting materials for completeness and follow up with applicants as needed.
- Record all grantmaking activities with accuracy using online grants management system.
- Oversee the timely processing of approved grants, including preparing cover letters and grant agreements.
- Track and review grantee payments and reports due, sending reminders to grantees and program staff as needed.
- Maintain and update grantmaking procedure process documents and grant cycle timelines.
- Support build-out of online grants management system.
- Attend occasional nonprofit site visits and meetings to record notes.
Office Administration
- Provide administrative support to the Program Officer, Executive Director, and Board of Directors.
- Answer routine inquiries about the Foundation’s grantmaking programs and priorities, including guidelines and proposal review process.
Reporting & Communications
- Manage and analyze data for generating reports from grants management system.
- Prepare communications and updates for the Board.
- Help develop and implement communications strategies for the Foundation, including web sites, newsletter, social media, and print media.
- Research and prepare due diligence materials, reports, and PowerPoint presentations.

- Minimum 3 years proven experience in related field.
- Advanced Microsoft Office (Excel, Word, & PowerPoint) skills required.
- Strong analytical and critical thinking skills.
- Strong interpersonal and customer care skills with the ability to communicate successfully through multiple channels.
- Ability to work independently and collaboratively.
- Knowledge of issues related to elder adults, Long Term Services and Supports (LTSS), and adults with disabilities.
- Demonstrates strategic thinking, a positive attitude, and strong, sound judgement.
- Professional and welcoming demeanor both in person and by email or phone.
- Ability to maintain a high degree of discretion and confidentiality.
Compensation and benefits:
The Foundation is committed to providing a competitive salary and benefits package.
The salary range for this position is $50,000 - $55,000 annually.

Working conditions:
Schedule: Candidates for this role must be located in the state of Wisconsin with the ability to travel to Inclusa Foundation office in Stevens Point regularly. This role offers flexibility in working hours. The typical schedule is Monday – Friday. Occasional weekend days or afterhours events. Must be available for consultation on off hours, when needed.
Travel:
Some in-state travel is required in this position. Must have a valid driver license, reliable personal vehicle, and proof of insurance. Travel is reimbursed at the Federal mileage rate.
