Employment Opportunity - Executive Assistant - Full Time, Exempt

Responsibilities:

  • Completes a broad variety of administrative tasks that facilitate the Executive Director’s ability to effectively lead the organization, including, but not limited to; assisting with special projects, develop, prepare and distribute agendas/packets for Board of Health and Committee meetings, publish and post agendas and notices pursuant to the Illinois Open Meetings act, timely and properly records, transcribes, reviews and retains the minutes (regular session and executive session as needed) for Board of Health and committee meetings.
  • Serves as a Freedom of Information Act (FOIA)Officer for the Kendall County Health Department and ensures the Department’s compliance with the Illinois Freedom of Information Act
  • Serves as Public Information Officer (PIO), manages Health Department website, manages Health Department social media and creates/distributes Health Department quarterly newsletter.
  • Timely prepare Annual Report and distribute to staff and the public per state statute.

Schedule:

  • Onsite Monday through Friday from 8:30 am – 4:30 pm.
  • Position requires some evenings and weekends, as directed, to meet responsibilities of position.

Benefits:

  • Base Salary - $55,000 per year
  • 13 Paid Holidays per year.
  • Paid Vacation Time – accrued each month, available for use immediately, increases incrementally with years of service.
  • Paid Sick Time – 6 hours accrued each month, available for use immediately, unlimited carryover each year.
  • Paid Personal Time – 40 hours annually.

Qualifications/Skills:

  • Advanced Knowledge of Microsoft Office Suite Word and Outlook, Basic knowledge of Excel/PowerPoint.
  • Excellent verbal and written communications skills. Outstanding organizational and time management skills.
  • Handles sensitive information with integrity and complete confidentiality.
  • Exercises professionalism when interfacing with leadership, staff, clients, and vendors.
  • Takes initiative and works well independently while using discretion. Strong attention to detail.

Education, Experience, and Licensing Requirements:

  • Associate or bachelor’s degree in a related field from an accredited university required.
  • Two (2) years of public health experience at a Health Department. Board experience preferred.
  • Must have valid Illinois driver’s license and the ability to pass background check.
