Administrative Assistant – Merit System
Purpose of Job this classification aims to provide administrative support to the Merit System team.
Essential Functions The Administrative Assistant is responsible for the following essential functions:
- Provides customer service via telephone and email, provides information and answers general questions, makes referrals to other individuals,departments, or forwards call to appropriate persons.
- Discusses vacancies with applicants and answers various questions
regarding the application process.
- Submits all necessary changes for the application website.
- Ensures all applications are complete and include all required documents.
- Maintains current EEOC list for applicant reference.
- Schedules all applicants for entry-level testing.
- Distributes daily mail correspondence for the department to the City/County Building.
- Schedules all meeting rooms with PBA for entry level testing, promotional board testing and board of Directors’ meetings.
- Filing and maintains applicant and employee files.
Additional Job Respond to and report immediately if called upon by local, regional or Functions central office supervisors, as part of a coordinated emergency response by the Knox County Health Department
- Ensure regular, punctual attendance during scheduled work hours
- Perform other duties as required
Minimum Training & High School diploma or GED.
Qualifications One (1) year experience in an office setting.
- Any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this position.

- Ability to maintain confidentiality of applicant information
- Excellent customer service skills
- Strong organizational skills with good time management
- Ability to communicate effectively verbally and in writing
- Proficient in use of PCs, tablets, smartphones and other electronic devices
- Ability to use the Microsoft Word processing program
Physical Requirements This position requires the ability to engage in occasional periods of light physical activity (<20lbs).
