What are the responsibilities and job description for the Administrative Assistant - Executive Office position at Landstar System, Inc.?

Location: Onsite in Jacksonville, FL Schedule: Monday - Friday, 8am - 5pm (flexible to 7am-4pm) Salary range: $20-$25 per hour, depending upon experience   Internal applicants given priority through 6/18/2024   What work will you perform? You will performs diversified, and confidential administrative duties, serving as liaison with employees, executives, customers, and visitors ensuring seamless day-to-day operations.  You will acts as a central point of contact for internal and external communications, handling inquiries, and coordinating information flow for the Director of Corporate Events/Chief of Staff who is also the CEO's Executive Assistant.  You will support business events that require you travel periodically.  Team players with a strong work ethic, a willingness to learn and the ability to build great professional partnerships should apply.   Essential Responsibilities: Produces a wide variety of routine and complex documents, reports, presentations, and other correspondence using standard Microsoft Office skills with minimal direction Answers phones, screens calls, and routes calls to the appropriate recipient Welcomes and assists visitors Manages schedules, books meetings, plans events, builds itineraries, makes travel arrangements and oversees food orders for meetings Reconciles and processes invoices and expense reports for payment Supports the facilitation of on or off-site large group meetings or events   Minimum Experience and Qualifications:  High School Diploma or equivalent Two years of administrative support experience   Preferred Experience and Qualifications:  Associates degree or equivalent experience Four years of administrative support experience   Knowledge, Skills, and Abilities: Ability to maintain confidentiality Excellent organizational skills Excellent attention to detail Proficient computer navigation skills using a variety of software packages including Microsoft Office applications Ability to correspond and communicate using proper grammar, spelling and punctuation. Excellent interpersonal skills. Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc) Ability to effectively communicate with multiple levels of stakeholders Ability to work effectively with others in person and in a group setting Ability to prioritize, manage time, and meet competing deadlines Ability to interpret verbal and/or written instructions at a proficient level Ability to travel as required for corporate events
