The Legal Billing Specialist will be responsible for managing the billing process for legal services provided by our law firm. This includes preparing, reviewing, and submitting invoices for clients, ensuring compliance with client agreements, and supporting the firm's financial operations.
\n- Prepare and generate accurate legal invoices for clients in a timely manner, based on attorney and client instructions.
- Review and verify time entries, disbursements, and other billing data to ensure accuracy and compliance with firm policies and client requirements.
- Communicate with attorneys, paralegals, and other staff to clarify billing information and resolve discrepancies.
- Assist with the preparation of client retainer agreements, budgets, and fee structures, as necessary.
- Ensure proper documentation and justification of billed hours, expenses, and adjustments.
- Maintain detailed records of billing entries, corrections, and adjustments.
- Address and resolve client billing inquiries and disputes, ensuring effective communication with clients.
- Assist in the preparation of monthly, quarterly, and annual financial reports as required by the firm's management.
- Ensure adherence to firm billing policies, billing guidelines, and compliance with legal industry standards.
- Process credit memos and write-offs as directed by attorneys or management.
- Monitor client payment status, follow up on overdue accounts, and provide support for collections processes.
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
- Minimum of 2 years of experience in legal billing or a similar finance role, preferably within a law firm environment.
- Familiarity with legal billing software (e.g., Elite, Aderant, or similar systems) and timekeeping software.
- Strong knowledge of billing practices and legal industry standards.
- Excellent attention to detail, accuracy, and organizational skills.
