Job Objective:
The Executive Assistant to the CEO or General Manager will be responsible for providing direct executive support to the leadership team, managing administrative tasks, coordinating internal and external communications, and facilitating the efficient functioning of the firm’s daily operations. This position requires exceptional organizational, communication, and confidentiality skills, with the ability to manage multiple priorities in a dynamic environment.
Responsibilities:
- Calendar and Schedule Management: Organize and coordinate meetings, appointments, and travel for the CEO and other executive team members, ensuring all scheduled tasks are met.
- Internal and External Communication: Act as a liaison between the General Manager/CEO, employees, and clients, ensuring efficient information flow between all parties.
- Documentation and Report Management: Draft, review, and manage confidential correspondence and documents, financial reports, presentations, and other materials for management.
- Project Coordination: Assist in planning, execution, and follow-up of key firm projects and tasks, including periodic reports and resource management.
- Call and Email Management: Screen and manage incoming communications, responding or redirecting as necessary to ensure efficiency.
- Strategic Decision Support: Prepare summaries, reports, and analysis to support decision-making by the General Manager or CEO.
- Event and Activity Management: Coordinate internal events, client meetings, and other firm-related events, including logistics, planning, and execution.
- Office Supervision: Ensure that the firm’s daily operations run smoothly, overseeing office functions, administrative staff, and related tasks.
- Confidentiality and Professionalism: Handle confidential information ethically and professionally, maintaining confidentiality at all times.
Requirements:
- Bachelor’s degree in Business Administration, Law, or related fields.
- Previous experience as an executive assistant, general manager assistant, or in a similar role, preferably in a legal or corporate environment.
- Exceptional verbal and written communication skills in [specify language].
- Ability to effectively handle multiple tasks, prioritize responsibilities, and meet deadlines.
