The Administrative Program Coordinator for Legend’s Global Manufacturing and Supply Department will provide crucial support to the Global Program Lead and the department leadership team. The role involves handling complex administrative tasks and supporting department activities. The ideal candidate will be detail-oriented, self-motivated, and uphold the highest standards of confidentiality and professionalism. Strong independent work skills, effective teamwork, and follow-through are essential.

Key Responsibilities
- Administrative Support:
- Provide comprehensive administrative support to the department leadership team, including calendar management, meeting coordination, and document preparation.
- Handle complex administrative duties with discretion and professionalism, ensuring effective decision-making and problem-solving.
- Serve as a key point of contact for internal and external stakeholders, managing communications and prioritizing tasks to meet deadlines.
- Travel and Expense Management:
- Manage expense reporting for the department leadership team, ensuring accuracy, compliance with company policies, and timely reimbursement.
- Proactively anticipate travel needs and resolve issues that may arise during business trips.
- Employee Engagement:
- Collaborate with HR and other departments to align engagement activities with company culture and values.
- Project and Initiative Support:
- Assist in the planning, execution, and monitoring of departmental projects and initiatives, providing logistical support and tracking progress against milestones.
- Assist in facilitating cross-functional collaboration by coordinating meetings, preparing materials, and following up on action items.
- Office and Resource Management:
- Manage office supplies, equipment, and resources for the department, ensuring everything needed for daily operations is readily available. - Liaise with facilities and IT to address any office-related issues or requirements.
- Data and Documentation Management:
- Maintain organized and up-to-date records, files, and databases, ensuring easy access to important information for the leadership team.
- Assist in preparing and editing presentations, reports, and other documents as needed.
- Additional Duties:
- Perform other administrative tasks as assigned, including but not limited to managing departmental communications, coordinating onboarding for new hires, and supporting ad hoc requests from leadership.
- Bachelors Degree required.
- 1-3 years of administrative support role.
- Experience in life sciences, biotechnology, or pharmaceuticals preferred.
- Executive support experience preferred.
- Event planning and coordination experience preferred.
- Experience in a large, matrix environment preferred.
- Expertise in handling sensitive information with confidentiality.
- Proactive, with strong organizational and multitasking abilities.
- Excellent communication skills (oral and written).
- Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Access, Teams, Outlook).
