Overview
We are seeking an experienced and organized Office Administrator to join our team. This is an in-person, Monday through Friday position located at our office in Brunswick, Maine.
Candidates should have a minimum of 3 years administrative experience, strong math skills, demonstrated bookkeeping knowledge, and superior communication skills. An exceptional attention to detail and ability to meet deadlines is required. The Office Administrator is often the first point of contact for new and existing clients and is responsible for providing superior customer service. This position requires a strong ability to multitask and a commitment to maintaining a productive work environment.
Duties Include:
- Manage daily office operations, including all clerical tasks
-Receive and respond to client inquiries as directed
-Assist with human resources functions such as maintaining personnel records
-Maintain accurate calendars for clients, employees, and leadership
-Create, edit, and issue contracts and invoices as directed
-Bookkeeping tasks including ledger entries, payment postings, reconciliations, and report creation
-Calculate job costs using prescribed formulas
- Assist employees with administrative needs and foster a collaborative work environment
Candidate Requirements:
- Associate Degree required, Bachelors preferred
-Strong office management skills with an emphasis on organization and efficiency
-Minimum 5 years professional experience, with at least 3 years administrative experience
-Strong work ethic and self-motivation
-Positive attitude and excellent customer service skills
- QuickBooks experience
-High level math skills
- Effective schedule management & ability to coordinate multiple calendars
- Knowledge of Gsuite products and Microsoft Office applications
Job Type: Full-time
Pay: $24.00 - $26.00 per hour
Expected hours: 32 – 40 per week
