Performance Responsibilities:

  • Coordinate with the Administrative Team all meetings and appointments
  • Act as receptionist for all incoming calls and personal visits. Receive public and staff in a pleasant and professional manner. Take Phone messages accurately and forward to appropriate staff members. Receive and communicate with the public and staff in a polite and professional manner.
  • Oversee the checking in and out of students who enter and/or leave the school for any reason other than the normal beginning and dismissal times.
  • Maintain and update student records in a timely and efficient manner.
  • Assist the Administrative Team with student discipline reports and other responsibilities.
  • Prepare letters, memos, work orders, handbooks, and other communications for the Administrative Team
  • Help maintain a safe environment in the school by distributing and dating visitor passes
  • Maintain confidentiality and propriety in office practice and records
  • Using the network word-processing program, database and spreadsheet, create and retrieve information as needed
  • Coordinate staff, student and parental needs with administration
  • Process incoming office mail and distribute appropriately
  • Handle incoming funds, using established financial procedures in accordance with state and Board of Education policies and expectations.
  • Assist with all scheduling, correspondence, etc. regarding students
  • Assist Principal with registration and enrollment of students
  • Keep inner and outer office area in a clean, efficient manner
  • Attend at least one professional growth workshop during the year
  • Work with other secretaries when necessary for the completion of a project
  • Assist students when they need help
  • Process yearly updates of teacher and student inventories
  • Assist Administrative Team with beginning and Year end activities
  • Receive bus information from students and parents. Communicate such information with transportation manager and other relevant staff members and students.
  • Registrar coordinator for OTHS Registration
  • Process Drop Students/Mail and copy files/Maintain files in storage for destruction.
  • Maintain a calendar and newsletter on the website.
  • File assessment scores as needed.
  • Record Constitution pass/fail in student data system.
  • Assist District Office with student insurance claims as needed.
  • Work with LEASE and District Staff on all reports.
  • Work with LEASE IEP program
  • Complete Medicaid Reimbursement forms.
  • Maintain and update dates of Annual Reviews and Eligibility Meetings on a Google calendar
  • Work with personnel for out-of-district placement of students.
  • Follow District established procedures for special education.
  • Input assessments into student data systems.
  • Assume any other duties that the Administration may deem necessary for the smooth running of the office.

Job Type: Full-time

Pay: From $40,131.00 per year
