Primary Purpose:
With limited supervision, organize and conduct the day-to-day operations of the transportation, maintenance, and custodial departments while providing clerical support to the Director of Operations. Coordinate the routing of pupil transportation for both regular and special needs programs across the district to ensure safe, efficient, timely, and cost-effective services. Dispatch drivers and buses, monitor and respond to two-way radio communications, and manage telephone calls by answering, recording, and routing them appropriately. Record absenteeism and arrange for substitute assignments. Assist in overseeing the maintenance of all district-owned vehicles.
Qualifications:
Education/Certification:
High school diploma or GED
Must be 18 years of age
Clear and valid Texas driver’s license
Commercial Texas driver’s license with Passenger (P) and School Bus (S) endorsements, preferred
Special Knowledge/Skills:
Proficient in keyboarding, data entry, word processing, and file maintenance
Ability to oversee and manage the operations of a small vehicle fleet
Skilled in using software to create route schedules, spreadsheets, databases and perform word processing tasks
Capable of prioritizing tasks to meet the various needs of the supervisor or department
Ability to assist the director in personnel supervision
Capable of receiving and delivering clear written and verbal instructions
Ability to read and understand documents, including policies and procedures manuals
Skilled at managing multiple complex administrative tasks simultaneously
Strong organizational, communication, and interpersonal abilities
Capable of passing U.S. Department of Transportation alcohol and drug tests, as well as the annual physical exam
Experience:
1 year secretarial experience, preferably in public education and/or transportation environment
Major Responsibilities and Duties:
Transportation and Vehicle Maintenance Operations
1. Manage the delivery of transportation services for students and ensure they are picked up and arrive safely and on time.
2. Oversee preparation and updating of bus routes and schedules in accordance with Texas Education Agency guidelines for all schools in district and develop plans to meet future transportation needs.
3. Communicate changes in routes and scheduling to campuses and the public when warranted.
4. Coordinate transportation for extracurricular activities and special programs.
5. Assign bus drivers to routes and extracurricular trips and find substitutes as needed.
6. Respond to driver requests for assistance and dispatch tow trucks, emergency services, and additional equipment as needed.

7. Answer incoming calls, take messages, and route them to appropriate staff. Handle questions and requests falling within the level of responsibility.
Policy and Laws
8. Implement federal and state law, State Board of Education rule, and board policy.
9. Compile, maintain, file, and present all reports, records, and other documents required.
10. Prepare, process, and maintain all documents required to verify safety certification and alcohol and drug testing of bus drivers.
11. Ensure employee time records are accurately maintained and data necessary to process payroll is delivered in a timely manner.
12. Follow district safety protocols and emergency procedures.
Records, Reports, and Correspondence
13. Prepare correspondence, memorandums, forms, requisitions, and reports for the Director of Operations and other department staff.
14. Implement district’s student discipline policies and ensure expectations about appropriate behavior when using district transportation are communicated to students. Enforce student discipline and suspension of riding privileges for any student who violates rules and regulations.
15. Investigate reported concerns and take appropriate action to resolve issues.
Safety
16. Investigate school bus accidents and student safety violations.
17. Ensure transportation equipment is in excellent operating condition.
18. Follow district safety protocols and emergency procedures.
Other
19. Process driving and safety records of all new applicants.
20. Maintain effective rapport with general public and handle any problems or concerns in a prompt and courteous manner.
21. Maintain confidentiality of information.
22. Serve as substitute bus driver as needed.
