- High School Diploma or equivalent; administrative assistant experience preferred; experience working with budgets and grants preferred.
- Combination of training, education, and experience which demonstrates possession of knowledge of the responsibilities stated.
- Knowledge of technology and computer software.
- Ability to communicate clearly and concisely.
- Assists in tracking and reporting quarterly expenditure reports for IDEA grants and Illinois School-Based Medicaid reporting, adhering to strict deadlines.
- Exhibits proficiency in navigating multiple Special Ed database systems, (such as I-Star, Skyward, Embrace, PCG, SIS) to report Special Ed Student and Personnel information.
- Assists the Executive Director with the annual claims process.
- Utilizes multiple spreadsheets and other documents.
- Processes, approves, and tracks purchase orders for the special education staff throughout the district.
- Processes department invoices, after-school tutoring timesheets, invoices to other districts.
- Assists Executive Director in supporting transportation and other needs of students who qualify for services.
- Supports the Early Childhood Coordinator in the early stages of the Pre-K screening process.
- Maintains manual and electronic documents, files, and records for providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
- Communicates clearly with all customers, internal and external, including staff, students, parents and the community.
- Maintains strict confidentiality of student, personnel and school district business records.
- Performs routine clerical functions such as typing, filing, processing in-district and outside correspondence, answering phones, preparing special project materials, and ordering supplies.
- Assist in compiling data for reports, records, and audits.
- Ability to perform with awareness of district requirements and policy.
- Perform other duties as assigned by the Executive Director of Student Services.
- $18.00/hour

ESSENTIAL JOB FUNCTIONS:
The position of Administrative Assistant to the Executive Director of Student Services is to provide a variety of complex and confidential administrative supports to the Executive Director and the Student Services Department. The Administrative Assistant helps facilitate the efficient flow of information regarding department functions and procedures, in a customer-centered, policy-guided manner. This position reports to the Executive Director of Student Services.
