Job Title: Administrative Assistant – School Professional I
Primary Objective:
- Assist Principal and Assistant Principal in the smooth and efficient operation of the school by providing support and services in matters relating to students with duties that include, but are not limited to maintaining school-based budget and accounts, serving as student record custodian, and managing staff attendance and payroll with an awareness of all district requirements and Board of Education policies
Minimum Qualifications:
- High School Diploma or general education degree (GED)
- Work well with minimal supervision
- Able to effectively and efficiently prioritize and complete multiple tasks simultaneously with attention to detail
- Able to communicate clearly and concisely, both orally and in writing
- Friendly and professional attitude as well as discretion in matters relating to students, parents, staff members and office business matters
- Work well with others
- Computer skills necessary, including Microsoft Office
- Adept at learning and using other related software and web-based programs
Preferred Qualifications:
- Previous experience in a school office
- Previous experience in Skyward
- Previous experience in bookkeeping
Evaluation:
- Per the MCSA Negotiated Agreement
Essential Job Functions:
- Reconcile general ledger for the school accounts on a monthly basis
- Send daily general ledger to the district office
- Maintain student activity accounts
- Coordinate enrollment and assign fees for the extracurricular program in student management system, e.g. Skyward
- Order school supplies and maintain inventory
- Track school budget and individual teacher expenditures
- Create purchase orders and check in orders when they arrive
- Make bank deposits
- Maintain petty cash records
- Purchase pop/water for pop machine and track sales
- Maintain payroll and timesheets for teachers, substitute personnel, administrators, and support staff
- Submit payroll documents to district office personnel every Friday
- Document and process paperwork for all requests to be excused
- Arrange for substitute building aides before the start of school
- Process paperwork for staff to register for professional development workshops and conferences
- Serve as the office lead for a student management system, e.g. Skyward
- Create a monthly newsletter, gather content from staff, and publish as needed
- Generate press releases
- Serve as backup to Administrative Assistant for School Student Services
- Assist with school activities as assigned by the building administration, e.g., registration, back-to-school days, open house, etc.
- Assist with projects when needed
- Serve as the student records custodian
- Maintain and edit all information entered into the student management system
- Process student transfers in and out of the district
- Assist with student dismissal, if needed
- Serve as a backup in the health services office when needed
- Performs additional duties as assigned
Requirements:
- Bending, carrying, climbing, lifting, pushing-pulling, reaching, sitting, standing, and walking
- Must be able to occasionally lift, move, or push items of 30 lbs.

Terms of Employment:
- 247 Working Days, 8 hours per day
