POSITION: Administrative Assistant
PURPOSE: This position will include general receptionist duties including greeting visitors creating first impressions with clients, vendors, and visitors.
ABILITIES, KNOWLEDGE, AND SKILLS:
- Must be available to work early mornings, evenings as early as 7:30 am, and as late as 9pm, may include weekends.
- Must have basic computer skills including Microsoft Word, Excel, email, and internet navigation skills.
PHYSICAL REQUIREMENTS AND/OR WORKING CONDITIONS: Work is performed primarily in an office environment. Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing, and pulling of objects weighing five to twenty-five pounds.
PRINCIPLE DUTIES AND RESPONSIBILITIES: The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Pleasantly and professionally greet and answer inquiries for the general public, clients, and visitors at the center and phone inquiries, taking messages for staff when necessary.
- Schedule client’s appointments.
- Collect payments/generate receipts for clients; enter payments in charts
- Client reminder and follow up calls
- Responsible for processing and pulling client charts and preparing new client charts.
- Maintain supplies of all office forms, blank charts, and marketing packets.
- Receive and distribute mail.
- Organize and maintain office files and records.
- Responsible for keeping the front desk and lobby neat and orderly and assist with light office cleaning.
- Maintain and order all urine collection supplies for males as needed.
- Responsible for managing expired county purchase orders and calibrating breathalyzer machines.
- Perform administrative tasks as directed by program staff.
- Perform other tasks as assigned.
QUALIFICATIONS / EXPERIENCE: Must possess a high school diploma or GED. College attendance is preferred in the field of the social sciences, but not required. Related experience in the field of social sciences is also preferred, but not required.
SUPERVISION: Work is performed under the general direction of MCMS.
