JOB TITLE: Physician Clinic Receptionist
DEPARTMENT: Physician Clinic
REPORTS TO: Physician Clinic Director
STATUS: Full-time
Monday-Friday (Day Shift)
JOB SUMMARY:
The Receptionist functions under the direction and supervision of the Clinic Manager/Provider. The Receptionist is responsible for appointments, processing payments and charges, following up on insurance billings, delinquent account follow up, daily cash balancing, refunds, and computer operations. This position may also perform other clerical duties as required. The position may require work beyond normal clinic hours.
SUPERVISORY RESPONSIBILITIES:

DUTIES AND RESPONSIBILITIES:
- Greets patients, visitors, drug representatives to clinic in a helpful and friendly manner and request they sign in (patients).
- Answers telephones promptly and courteously
- Routes other telephone calls or takes messages as needed
- Schedule patient appointments with all required information needed for adequate charting and insurance information
- Reschedule appointments as needed, schedule follow-up appointments and fill out any work/school excuses.
- Oversees patient waiting area and front desk in a neat and organized manner. Advises patients of any delays.
- Document “no shows” and cancellations in patient charts and on appointment schedule.
- Assist new patients in completing patient information forms, obtain copy of insurance card(s) and enter data in the computer
- Verify insurance when scheduling patients and verify again the day of their appointment
- Call patients daily to confirm appointment for the following day.
- Inform patients of any existing balance, collect payment at time of visit and issue receipts to patients.
- Document patient payments made at check out.
- Scan all patient lab reports and x-ray reports into chart and label each one.
- Assist with referrals and sending referral letters.
- Handle medical record requests from outside entities.
- Ensure patients have all necessary orders (lab, x-ray, etc.) before leaving clinic.
- Scan all patient information into the electronic medical record.
- Assist with clinic Meaningful Use requirements and Promoting Interoperability.
- Other related responsibilities/duties as assigned or as necessary.
- Reports to work on time.
- Keeps absences at a minimum, requests time off as per policy. Calls in only when absence is absolutely necessary.
- Adheres to dress code of the clinic.
- Maintains confidentiality of all information regarding employees, patients, medical staff, etc.
- Assists in the maintenance of a neat, clean and safe clinic.
- Reports all incidents/accidents, no matter how minor, to the Clinic Manager as soon as possible.
- Practices proper body mechanics.

REQUIRED SKILLS AND ABILITIES
- Must be able to read, write and speak the English language.
- Must possess the ability to make independent decisions, when circumstances warrant such action.
- Must possess the ability to deal tactfully with personnel, patients, visitors, government agencies and the general public.
- Must possess the ability to plan, organize, develop, implement and interpret the programs goals, objectives, policies and procedures, etc. that are necessary for the clinic.
- Must have patience, tact, enthusiasm, and a cheerful disposition, as well as be willing to handle persons based on whatever maturity level they are currently functioning.
- Must possess the ability to seek out new methods and principles and be willing to incorporate them into existing practices.
- Must be able to type 50 words per minute.
- Must possess good computer skills.
- Must be able to work independently and be a self-starter.
EDUCATION, EXPERIENCE, CERTIFICATIONS AND LICENSING REQUIREMENTS:
High school diploma or equivalent.
At least two years related experience required.
PHYSICAL REQUIREMENTS:
- Works in well-lighted/ventilated office area of the clinic.
- Is subject to frequent interruptions.
- Is involved with co-workers, patients, visitors, government agencies/personnel, etc., under all conditions/circumstances.
- Is subject to hostile and emotionally upset patients, visitors, etc.
- Is willing to work beyond normal working hours, i.e. weekends or after clinic hours on occasion, or as necessary.
- Is subject to cuts, bruises, falls, burns from equipment, odors, etc., throughout the workday.
- May be exposed to infectious waste diseases, conditions, etc., including the potential exposure to the AIDS and Hepatitis B viruses.
