The Procurement & Fixed Asset Manager oversees inventory, procurement processes, and fixed asset management to ensure operational excellence across stockroom locations, warehouses, and on the road. This role includes managing compliance, implementing cost analysis for purchasing, overseeing maintenance schedules, and ensuring accurate system records for equipment and inventory. The position requires strong organizational skills, a collaborative mindset, and a proactive approach to supporting seamless operations.
The role involves frequent travel between customer sites (skilled nursing facilities) & company storage sites, warehouse management, and collaboration with key team members, including the Technician Supervisor and General Manager, to meet organizational goals.
Key Responsibilities
1. Inventory & Asset Management
o Oversee and maintain organization and cleanliness of warehouse and storage facilities, including monthly audits for equipment and inventory.
o Perform regular audits of fixed assets to ensure alignment with system records and billing accuracy.
o Conduct regular inventory audits and implement accountability measures.
o Ensure equipment and supply readiness by assisting with cleaning, functional testing, and organization as needed.
2. Procurement & Cost Analysis
o Manage purchasing of inventory and perform cost analyses to ensure financial efficiency.
o Build and maintain relationships to support ventilator management and schedule regular maintenance.
o Collaborate with the Technician Supervisor on Technical Work Orders (TWOs) to align procurement with organizational needs.
3. Maintenance Management
o Oversee repair and preventative maintenance schedules for equipment and assets.
o Ensure compliance across vans, warehouse, and storage facilities to meet safety and operational standards.
4. Collaboration & Communication
o Work closely with the Technician Supervisor and General Manager to ensure seamless daily operations.
o Prepare monthly deliverables and actively participate in meetings with operations and finance teams.
o Collaborate with internal teams for dispatch duties as needed to ensure timely execution of tasks.
o Develop and maintain policies and procedures relevant to the role.
5. Reconciliation & Billing
o Complete daily patient appointment and work order reconciliation to ensure accuracy and completeness.
o Conduct regular audits to confirm asset and inventory alignment with system records.
6. Salesforce & Administrative Tasks
o Utilize the Salesforce portal for tasks, including entering customer/patient information, dispatching team members, and handling daily correspondence.
o Maintain customer request email logs and ensure all inquiries are addressed promptly.
7. Travel & On-Call Support
o Drive between multiple locations daily to support inventory, audits, and asset management needs.
o Provide on-call support for urgent matters as needed.
Requirements
· Education & Certification:
o High school diploma or GED required.
· Skills & Experience:
o At least one year of warehouse inventory experience.
o Prior experience managing a multi-line phone system (minimum 1 year).
o Minimum one year of customer service experience.
o Experience with repair/maintenance schedules is a plus.
o Proficiency in Microsoft Office Suite (intermediate level or above).
o Strong organizational, written, and verbal communication skills.
· Other Qualifications:
o Valid driver’s license and current auto insurance.
o Prior professional driving experience required.
o Ability and willingness to travel between multiple locations daily.
