Job Purpose
The ideal candidate will play a vital role in ensuring accurate, compliant, and efficient payroll processing while collaborating with HR and finance teams to address employee needs and support operational excellence.
Assist the Regional HR Ops and Compliance Manager in aligning payroll practices across the US.

Key Result Area Measurement of Performance
Payroll Processing
  • Process bi-weekly and semi-monthly payrolls for our U.S. locations, ensuring accuracy, timeliness, and compliance with federal and state laws.
  • Manage hourly and salaried employee payroll, including import uploads and processing adjustments as needed.
  • Audit payroll data & preview before submission to ensure completeness and accuracy using a variety of ad-hoc analyses to identify discrepancies and address them promptly.

Measurement of Performance:
  • Percentage of payrolls processed without errors or manual corrections.
  • Target: 98% Accuracy


Compliance and Reporting
  • Stay up to date with federal and state payroll regulations and ensure compliance across all locations.
  • Support with state tax online registrations for Withholding, Unemployment and FMLA.
  • Support garnishment processes and ensure compliance with withholding orders.

Measurement of Performance:
  • Percentage of compliance with federal and state payroll laws.
  • Target: 100% Compliance.


Benefits and Deductions
  • Manage payroll deductions related to employee benefits, including 401(k) deferral contribution changes and loans.
  • Prepare all the required benefit and funding files for HSA, BRI, McRedmond Fund and Ancillary plans, staying closely aligned with Benefits Specialist to ensure accuracy and reconciliation with payroll.
  • Calculating the supplemental pay for employees on New York Paid Family leave program.
  • Carrot fertility program, tracking of employee lifetime benefit limit and processing gross ups for taxable events as per tax regulations
  • Maintain dependent care assistance program (Vivvi), tracking employer subsidies against annual program limits, including recordation of monthly subsidies and imputed income for amounts over the specified annual limits ensuring proper disclosure on form W-2, box 10

Measurement of Performance:
  • Efficient and timely management of processes
  • Percentage of correct deductions (e.g., 401(k), HSA) applied to payroll.
  • Target: 98%


Audit and Reporting Support
  • Prepare payroll data for the annual workers’ compensation audits, 401-K and DOL reporting.
  • Assist with monthly and quarterly benefits funding and reconciliation processes.
  • Ensure accurate reporting and reconciliation of ancillary benefits premiums.

Measurement of Performance:
  • Project deliverables managed on time.
  • Timeliness and accuracy of payroll data provided for workers' compensation audits and DOL reporting.


Projects and Improvements
  • Participate in system enhancements, such as time-off plan updates and payroll automation projects.
  • Work with HR and finance teams to streamline payroll processes and improve efficiency.
  • Support with new acquisitions payroll integrations.

Measurement of Performance:
  • Project deliverables managed on time.
  • Reduction in payroll processing time due to implemented enhancements.
Required Skills/Abilities
Essential:
  • Bachelor in related field (Business, HR, economics or related field)
  • Minimum of 5 years of demonstrated solid Payroll Processing experience, preferably in a multicultural environment (and preferably experience working with a multi-state environment)
  • Extensive knowledge of using and implementing payroll systems and software (Kronos, Success Factors and related systems).
  • Knowledge of federal and state payroll regulations, particularly in Florida, Texas, and New York.
  • Technical ability to work with multiple sources of data, drive data imports & process automation.
  • Experience supporting audits and managing benefit deductions.
  • Advanced Excel skills, including pivot tables and v-lookup for payroll data analysis and reporting purposes.
  • High level of accuracy, confidentiality, and attention to detail.
  • Strong communication skills and the ability to collaborate effectively with cross-functional teams.
Desirable:
  • Experience of working in HR/Payroll in a global organization
  • Experience using HRIS/ Payroll systems
  • Experience in education or similar industries.
  • Bilingual Spanish English
  • Demonstrated experience using analytics to drive business objectives
  • Experience of supporting corporate/Head Office functions
