Job Summary

Reporting to the Director of Accounting Services, the Accounts Payable Associate is responsible for payment of vendor invoices. They are also responsible for processing employee reimbursements, stipends, and travel claims.

Job Duties

Responsible for half of the Accounts Payable Office duties including but not limited to:

• Check invoices for discrepancies and for compliance with purchase orders

• Payment of vendor invoices upon approval. Make sure that payments are made within the terms indicated by the vendor/purchase order and all discounts are taken.

• Payment of employee reimbursements via paper requisitions upon approval

• Process tuition payments to colleges for employee ½ price tuition discounts for dependents

• Payment of student stipends

• Payment of adjunct professor payments to other educational institutions upon completion of semesters

• Processing departmental charges from the bookstore

• Processing business office payments as requested

• Processing club release of funds requests

• Review of travel authorization forms and payment of travel claims according to policy

• Payment of utility bills and maintain utility spreadsheets

• Allocate expenditures for motor pool, central supply, copier, and telephones

• Complete all entries and reports for fiscal year end including accrual of year end invoices

• Complete other assignments as directed by supervision

Minimum Qualifications

• Associate degree in Accounting, Business or related field from an accredited institution
• Experience in an accounting or finance office setting

Preferred Qualifications

• Bachelor's degree from an accredited institution
• Experience working with Banner software
• Conversational ability or fluency in a second language

Knowledge, Skills, and Abilities

• Technology Skills: MS Office suite; videoconferencing software; digital records management systems; general operating systems and data information systems
• Excellent written and oral communication skills required
• Excellent face-to-face customer service skills required
• Ability to establish and maintain effective working relationships
• Knowledge of accounts payable procedures; fund accounting principles and their applications; auditing standards and procedures
• Knowledge of office practices, procedures, and equipment
• Ability to work independently and as a team member on time-sensitive tasks
• Ability to direct the flow of a considerable volume of detailed work
• Skill in organizing and prioritizing multiple tasks required for own work and work of others
