Role Summary
The Sponsor Services Professional plays a critical role in supporting sponsor-facing activities within a Contract Research Organization (CRO) focused on life sciences and supporting the business development and market team. This position is responsible for ensuring efficient administrative operations, serving as a liaison between internal project teams and external sponsors, and coordinating business development activities. The ideal candidate is detail-oriented, highly organized, and skilled in managing multiple tasks in a fast-paced environment.
Role Responsibilities
- Act as an administrative point of contact for Sponsor visits, ensuring timely and professional responses.
- Schedule and coordinate conference rooms for meetings, including teleconferences, and in-person sponsor visits.
- Work with business development to maintain CRM data and reporting.
- Assist in the tracking of Sponsor-related documents, including contracts (MSA’s and CDA’s), SOWs, and amendments.
- Work with business development to arrange cold calls to drive new business.
- Arrange travel for business development staff.
- Organize sponsor meetings including venue selection, travel arrangements, and catering.
- Prepare and distribute meeting agendas and presentations in collaboration with Study Directors and Business Development.
- Support sponsor audits and inspections by preparing requested documentation.
- Maintain Sponsor audit rooms and Conference room.
- Receive, direct, and relay telephone calls and messages.
- Welcomes on-site visitors, determines nature of business and announces visitors to appropriate personnel.
- Monitors visitor access and issues passes when required.
- Receive shipments at the front desk.
- Other duties as assigned.
Role Requirements
- Bachelor’s degree in life sciences, business administration, marketing, or a related field.
- 2 years of administrative experience in a CRO, pharmaceutical, or biotechnology company.
- Prior experience supporting sponsor audits or inspections.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal abilities to interface with internal teams and external sponsors.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with document management systems (e.g., Veeva Vault, SharePoint).
- Ability to handle multiple priorities with a high degree of accuracy and confidentiality.
