Overview
Northern Staffing Services, in partnership with Kilwins Quality Confections, is seeking a dedicated and professional Front Desk Administrative Ambassador to join our team. The ideal candidate will serve as the first point of contact for team members, customers, vendors and visitors. Key Responsibilities:

Front Office & Communication:

  • Greet and Welcome Visitors and Team Members: Provide a warm and professional welcome to all visitors, ensuring core values shine through all interactions.
  • Manage Communication: Efficiently and courteously handle a variety of inquiries, including phone calls, emails, voicemail messages, in-person interviews, internal meetings, and other requests. Provide information and support on facility tours, product details, franchising opportunities, website navigation, and customer service inquiries, ensuring seamless communication and a positive experience for all stakeholders.
  • Address Customer Concerns: Track and forward customer concerns received by phone or through our website's "Contact Us" page, ensuring timely and effective resolution

Administrative & Organizational Support:

  • Process incoming and outgoing mail and packages, including FedEx shipments.
  • Coordinate office lunches for meetings, interviews, and special events.
  • Prepare and proofread correspondence, memos, charts, and reports.
  • Maintain office supply inventories, ensuring the office, kitchen, and breakroom are well-stocked.
  • Train new team members in office systems (copiers, mail processes, supply ordering, etc.).
  • Manage key and fob distribution for all organizations.
  • Maintain and distribute the internal phone list.

Event & Special Project Assistance:

  • Seasonal and Special Projects: Assist with seasonal initiatives, including mass mailings, broker and vendor gifts, and holiday preparations, ensuring timely and effective execution.
  • Data Management: Contribute to data collection, entry, and verification for our internal systems, including FranConnect and FACTS, ensuring accuracy and efficiency

Qualifications:

  • Friendly, Professional, and Patient Demeanor: You set the tone for the office!
  • Strong Organizational Skills: Ability to multitask and pivot when priorities shift.
  • High Emotional Intelligence: Great at handling interruptions and getting back on task.
  • Computer Savvy: Aptitude for learning new systems quickly. Proficient in Microsoft Office including Outlook, Teams, Word, and Excel.
  • Natural Problem Solver: Enjoy connecting people with the right resources.

Job Types: Full-time, Contract

Pay: $18.00 - $23.00 per hour

Expected hours: 40 per week

Schedule:

  • 8 hour shift
  • Day shift
  • Monday to Friday
  • No nights
  • No weekends

Experience:

  • Executive administrative support: 2 years (Required)
  • Office management: 2 years (Required)

Language:

  • English (Required)

License/Certification:

  • Driver's License (Required)

Ability to Relocate:
