Position Description
Administrative Assistant
Location: NVI Office and NASA Goddard Space Flight Center (GSFC)
Summary: This is a full-time position that involves providing administrative and
clerical support for NVI at its corporate office and at the nearby Goddard
Spaceflight Center, with the time being split roughly evenly between the two. This
is a hybrid position. The employee is expected to be on site for 2-3 days/week.
The position involves working in a team environment composed of scientists and
programmers. Your immediate supervisor will be the NVI Administrator.
The work requires continual attention to detail in composing, typing and proofing
materials, establishing priorities and meeting deadlines. Must be able to work in a
fast-paced environment with demonstrated ability to juggle multiple competing
tasks and demands
Essential Duties and Responsibilities include the following.
General Duties at the NVI office include:
Reception and telephone duties, including sorting and distributing mail,
signing for packages.
Purchase and organization of office supplies.
Filing documents
Keeping track of NVI equipment.
Assisting the Administrator in the accounts payable process.
Assisting the Administrator in reviewing and approving expense reports.
Some data entry into our accounting system.
Submitting payroll information to our payroll company and making sure it is
accurate.
Assist in researching information.
Organizing two company outings annually.
General Duties at NASA include:
General clerical assistance to the Administrator, NVI personnel, and NASA
civil servants as required.
Obtaining, organizing and delivering offices supplies.
Assist in maintaining NVI-curated email lists at NASA.
Required to copyedit articles and papers for newsletters, reports, and
proceedings intended for publication at NASA GSFC.
Prepares required reports for the contracts, memoranda, compose letters and
routine correspondence.
Gathering information and submitting proposals to NASA for domestic and
international travel. This requires being knowledgeable in NASA GSFC travel
requirements.
Education and Experience:
A bachelor’s degree is required.
3-4 years of related experience is a plus.
Job Knowledge, Skills and Abilities:
Must have high level of interpersonal skills to handle sensitive and
confidential situations.
Position continually requires demonstrated poise, tact and diplomacy.
Must be able to interact and communicate with individuals at all levels of the
organization.
Must have a good command of the English language, oral and written.
A professional appearance and telephone manner is essential.
Proficiency in MS Office is a must.
Experience with WordPress and Adobe Acrobat Pro is a plus.
Supervisory Responsibilities:
None.
Physical Demands:
Required to sit for long periods of time.
Infrequent light physical effort required.
Work Environment:
Work performed in an office environment
Will be required to perform other duties as requested, directed or assigned.
This is a hybrid position requiring 2 to 3 in-person days per week.
