We are a high end Fine Art Gallery located on Main Street in Park City Utah. Currently seeking a Superstar who would like to be a part of a growing team. We are seeking a detail-oriented and proactive Receptionist/Executive Assistant to join our team. The ideal candidate will be responsible for providing administrative support and acting as an executive assistant to the owner. This is a new position for our company. We are looking for someone that can add value by performing a wide variety of tasks and help wherever needed.
Responsibilities:
- Greet and assist visitors in a professional manner
- Answer and direct phone calls to appropriate personnel
- Manage incoming and outgoing correspondence
- Schedule appointments and maintain calendars
- Assist in organizing and coordinating meetings, conferences, and special events
- Perform general clerical duties
- Handle sensitive information in a confidential manner
- Assist with project coordination and document preparation
- Coordinate travel arrangements and prepare detailed itineraries
- Assist with special projects as assigned by executives
- Help the owner prioritize items that need his attention
- Run personal errands on behalf of the owner
Qualifications:
- Proficiency in using office software such as Microsoft Office Suite, Google Suite, iCloud, and QuickBooks
- Strong computer literacy with the ability to learn new software quickly
- Experience with calendar management tools like iCalendar and Google Suite
- Excellent typing skills and attention to detail for accurate data entry
- Ability to proofread documents for grammar, punctuation, and spelling errors
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Ability to handle sensitive information with confidentiality
- Experience with phone systems
- Self-starter who is confident, able to problem solves, but not afraid to ask for help when needed
- Resiliant and able to work thorugh difficult situtations
