Job Summary
In the role of Medical Receptionist, responsibilities encompass customer service, patient reception, and administrative duties within a medical office. Tasks include answering calls, scheduling appointments, updating patient information, managing accounts, and supporting the operations of the medical practice.
Essential Duties and Responsibilities:
1. CUSTOMER SERVICE AND PATIENT RECEPTION:
- Ensures coverage at the front desk for all incoming and exiting patients, family members, clients and vendors.
- Promptly answers all incoming calls via multi-line phone. Answers questions, takes detailed and accurate messages. Provides feedback and answers to patient/physician/pharmacy calls within a timely manner.
- Communicate with patients in person, phone, and patient portal.
- Greets all patients with OWM greeting and follows procedure for welcoming patients to office, offering tea, water, etc.
- Review and update patient demographic information if changes have occurred.
- Document appropriately in EMR system - patient messages, demographic updates, billing notes, etc.
- Scan copy of photo id and upload to patient chart.
- Has a thorough understanding of EMR systems used: CERBO, Wellness Living and Microsoft Suite .
- Daily review and update of referral tracker.
- Ensure marketing materials and pamphlets are fully stocked and organized.
- Ensure the reception common areas are kept neat, tidy and are up to OWM Integrative Wellness’s standards of presentation.
2. Patient Accounting and Information Management
- Adds patient insurance information to chart and scans copy of insurance card(s).
- Review new patient paperwork and ensure completion and all signatures are obtained and scan into patient chart.
- Obtain medical records and reports.
- Manage incoming medical record, prior authorizations requests.
- Process documents in fax queue.
- Process patient forms.
- Scanning paper documents into CERBO, Wellness Living and Microsoft Suite
- Record all patient transactions in CERBO, Wellness Living and Microsoft Suite
- Balance daily transactions and cash drawer at end of each day.
- Adheres to precise data entry guidelines as established by management.
- Follows provider schedules as set up in wrs. Is familiar with provider schedules and questions if something seems out of place.
I.e. dr. Kaplan is (out of the office) at dent, if the schedule is open, the employee should clarify with management prior to scheduling a patient.
3. Operations Support
- May be required to perform medical records support tasks such as analyzing, filing, retrieving and updating patient charts. All medical records support tasks will be assigned by management and must strictly adhere to predefined policies and guidelines.
- Able to greet and room patients, escort to room, obtain vital signs and complete patient intake
- Maintain patient confidentiality at all times
- Maintain a clean and organized work environment
- Maintain office supplies at front desk - advising management when running low
4. Continuous Quality Improvement And Other
- Completes related reports and projects as directed.
- Works as part of an office team to complete projects and other tasks in a cooperative and service oriented manner.
- Continuously reviews work related processes and communicates quality enhancement recommendations to management for review.
- Perform other duties as assigned.
Supervisory Responsibilities:
- None.
Work Environment:
- Works in an office environment with occasional exposure to patient care areas.
- May be required to occasionally lift or move items up to 25 pounds.

Preferred Education & Experience:
- HIGH SCHOOL DIPLOMA OR GED IS REQUIRED
- 2 YEAR COLLEGE DEGREE IS PREFERRED
- 2-3 YEARS OF EXPERIENCE WORKING WITHIN A HEALTH CARE SETTING IN WHICH THE PRIMARY RESPONSIBILITY WAS THE COMPLETION OF CLERICAL, GENERAL OFFICE, PATIENT ACCOUNTING AND RECEPTION ORIENTED TASKS.
