Position Summary:

The Administration Coordinator performs a variety of tasks in the organization that is crucial for plant efficiency. The primary role for the Plant Administration Coordinator (PAC) includes the successful completion of office, basic accounting administration tasks and plant management to support the Plant including plant supplies procurement, requisitions and plant supplies inventory. This position deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload. Recommends changes in office practices or procedures.

Essential Duties (not inclusive):

1. Greeting and management of visitors. Direct and accompany visitors while onsite.

2. Office administrative duties such as data entry, filing (storing, filing, organizing and managing office files including accounting files, 1099 administration, etc.), process incoming and outgoing mail, general basic accounting tasks, and organization for efficiency.

3. Answer and route incoming calls.

4. Ensures office is prepped for meetings (coffee, water, empty trash cans, reorder etc.)

5. Management of company equipment and liaising with administrative suppliers and/or contractors.

6. Management of plant office, PPE and Lab supplies including procurement.

7. Management of office cleaning/janitorial and safety services.

8. Arranging/scheduling travel, transport and accommodations.

9. Arranging meetings and conference calls as requested.

10. Management of Company lodging including apartment(s) and residential housing including lodging vendor services, insurances, general property management (winterization, maintenance (i.e. lawn care, septic, appliances, etc.), stocking, cleaning, linens, packing/unpacking, property taxes, air filter changes, and bill payment, etc.).

11. Management of all company vehicles ensuring all have correct licensing and insurance with proof thereof in each vehicle. Ensures are all serviced. Keep TX tag and tolls updated.

12. Management of employee uniforms and PPE (laundry services, inventory count, assignment of uniforms and PPE, upkeep, policies etc.).

13. Management of all company cell phones (currently through Verizon & Apple business).

14. Planning company events.

15. General basic accounting tasks such as: maintaining petty cash, maintaining vendors in banking systems, credit applications, issuance of 1099 B notices, deposits to bank, expense reports for submission and approval, reconciling company credit cards, accounts payable invoices to corporate and/or payment of invoices, follow up on outstanding Accounts Receivables, requesting manual checks, etc.).

16. Compile data and prepare a variety of reports for Plant efficiency and Management as requested.

17. Serves as back up to logistics for shipping samples, assisting in inbound arrival, etc.

18. Obtain and/or maintain proper certifications as directed (i.e. DOT certification- DOT shipping of hazardous materials requirements/regulations, UPS Certification, FEDEX Certification, etc.).

19. Assist in various daily operations including needed errands.

20. Keep all company information confidential.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. This is largely a sedentary role; however, will require sitting for periods of more than 4 hours daily, standing, walking, bending, kneeling, stooping, sitting, crouching, and climbing. Filing is a requirement and would require the ability to lift files, bend and open filing cabinets. The employee will frequently lift up to 25-30 pounds and occasionally lift up to 40 pounds. This person would be required to drive to accomplish office management duties. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus. The office is located within a multi-level building and is required to use stairways to access these levels. There is not a personnel elevator at the site.

Work Schedule: Monday – Friday / 8:00 a.m. – 5:00 p.m. Flexibility is key and required for this role.

Position Qualifications:

Education

  • A high school diploma or GED is required.
  • Associate’s degree in a relevant field preferred.

Licenses, Registrations, or Certifications:

  • A valid driver’s license and good driving record for past 5 years.

· personal vehicle insurance coverage of a minimal 100,000/100,000 coverage.

Skills/Experience:

  • Requires 3-5 years’ proven experience in a relevant industrial, manufacturing or, construction role.
  • Advanced Excel knowledge level (including formulas, pivot charts) and a working knowledge of Microsoft Office Suite to include Word, Power Point and Outlook.
  • Working knowledge of hazardous materials requirements for shipping domestically and internationally is preferred
  • Requires excellent organizational and time management skills.
  • Requires ability to multi-task, work independently and prioritize workload.
  • Requires superb Attention to detail and accuracy.
  • Superb verbal and written communication skills a must.
  • Experience with Office/Supplies Inventory Management.
  • Experience with Basic Accounting functions such as expense reports, accounts payable, banking deposits, auto bill pay, basic data entry into SAGE.
  • Experience with ADP workforce now timecard system is preferred.
  • Bilingual preferred
  • Ability to read, comprehend and write English
  • Ability to follow verbal instructions.
  • Must be good decision maker and self-motivated worker.
  • Basic math and problem-solving skills

Job Type: Full-time

Pay: $50,000.00 - $54,000.00 per year
