- Job Description Summary:The Administrative Coordinator I, under general supervision, works collaboratively with departmental leadership to provide complex administrative support work.Responsibilities:
- Serve as front-line individual to receive telephone calls, visitors, mail, etc.; field questions and refer to appropriate individuals; request express package pickup/delivery; maintain supply inventory (basic office supplies, letterhead, business cards, etc.); maintain departmental active files and archived records off-site; provide calendar notices and reminders of activities and deadlines; and maintain departmental photographic and printed directories for distribution.
- Serve as information resource as well as provide administrative support on departmental processes/initiatives (specifically annual graduate student forum, departmental search and selection committees), including handling confidential materials, and drafting responses that require conducting research and coordinating responses from various faculty/administrators, as well as all necessary follow-up activities.
- Management of departmental websites: Oversee the maintenance and updates of departmental websites, ensuring they are user-friendly, informative, and aligned with the latest web standards.
- Assistance with faculty lab websites: Provide support to faculty members in managing and updating their lab websites, ensuring consistency and accuracy of information.
- Content creation for social networks: Develop and manage engaging content for the department's social media channels, fostering community engagement and promoting departmental activities. • Adherence to guidelines: Ensure all web and social media content complies with Texas A&M University and Texas A&M AgriLife Marketing and Communication guidelines, maintaining the institution's brand integrity and standards.
- Coordinate arrangements for meetings and audio visual aids; work with caterers and food vendors to provide refreshments for events. Assist in the planning of special events and coordination of logistical arrangements. • Coordinate incoming mail and packages and tracking of lost packages.
- Assist with departmental administrative needs in support of faculty and students. • Assist with onboarding of new employees. • Perform advanced word processing, desktop publishing, presentation and data management; provide administrative support to department head, associate department heads for academic programs and Extension, departmental tenure-track faculty and numerous faculty state-wide. • Develop, maintain, and operate departmental e-mail servers for use in distributing timely information to departmental faculty, staff, and students on a daily basis. • May assist in supervision of student employees.
- Other job related duties as required.
Required Education and Experience:Bachelor’s degree or equivalent combination of education and experience.Two years of related experience.Preferred Education and Experience:Four (4) years of related experience.Required Knowledge, Skills and Abilities:- Knowledge of word processing, spreadsheet, and database applications
- Ability to multitask and work cooperatively with others
- Good verbal and writing communication skills
