As we continue to expand, we are looking for a highly organized and proactive Executive Assistant & Office Manager to support both our leadership team and the daily operations of our new office in Eastern Market, Detroit.
This is a part or full time role that requires in-office presence 1-2 days per week, ensuring the office runs smoothly while also providing executive-level administrative support. The ideal candidate is someone with previous EA experience, strong organizational skills, and a solid understanding of office management and bookkeeping.
This role is a combination of executive support and office management, requiring someone who thrives in a fast-paced environment, is detail-oriented, and can manage multiple responsibilities efficiently. You will work directly with the leadership team to support administrative functions while also overseeing office logistics, vendor coordination, and team event planning.
- Calendar Management: Schedule and coordinate meetings, ensuring efficient time management for the executive team.
- Administrative Support: Handle email correspondence, document organization, and administrative tasks.
- Basic Bookkeeping & Accounts Receivable: Assist with invoice tracking, payment follow-ups, and basic financial record-keeping. Experience with QuickBooks or similar accounting software is a plus.
- Task & Project Coordination: Provide administrative support on various projects, ensuring deadlines are met.
- Personal Tasks: Occasionally assist with scheduling personal appointments, travel planning, and other executive-related tasks.
- Office Organization & Maintenance: Ensure the office is clean, organized, and running efficiently.
- Vendor & Cleaning Coordination: Manage relationships with cleaning services, maintenance vendors, and office supply providers.
- Supply & Inventory Management: Track and replenish office supplies, snacks, and materials to maintain a well-stocked workspace.
- Creative Team Support: Work closely with the creative team to assist with logistical needs, resource coordination, and operational tasks.
- Team Events & Lunch Coordination: Organize occasional team lunches, happy hours, and company events.
- Space Planning & Office Setup: Help arrange office layout, seating, and equipment setup as needed.
- Experienced EA: You have at least 2 years of executive assistant experience, preferably in a fast-paced or creative industry.
- Office Management Pro: You understand the ins and outs of keeping an office running smoothly.
- Bookkeeping Savvy: Experience with accounts receivable, invoicing, and basic bookkeeping is a major plus.
- Organized & Proactive: You have a sharp eye for detail, love efficiency, and anticipate needs before they arise.
- People-Oriented & Resourceful: You enjoy supporting a team and helping create a well-functioning workspace.
- Tech-Savvy: Comfortable using scheduling tools, project management software, and bookkeeping systems like QuickBooks, Google Workspace, and Slack.
