Job Summary :
The Timekeeping and Field Admin Manager is responsible for overseeing and coordinating timekeeping and field administrative functions for industrial construction projects in a field or remote work environment. This role works closely with project managers, field personnel, Payroll and the HR department to ensure accurate timekeeping, compliance with labor regulations, and efficient administrative operations in the field.
Key Responsibilities :
- Timekeeping System Management : Oversee the implementation and maintenance of timekeeping systems tailored to the needs of a mobile or field-based workforce to include mobile time-tracking apps or devices.
- Field Personnel Coordination : Manage the scheduling and deployment of field personnel to various job sites, ensuring that the right people are in the right place at the right time.
- Time and Attendance Tracking : Supervise the accurate recording of work hours, breaks, and overtime for field employees, often using digital systems or mobile apps.
- Field Data Collection : Implement processes for field personnel to report job-related data, such as completed tasks, materials used, and job progress.
- Compliance with Labor Laws : Ensure that field employees comply with labor laws, including overtime regulations and meal and rest break requirements specific to the jurisdiction they are working in.
- Payroll Coordination : Collaborate with the payroll department to integrate field employees' time and attendance data into the payroll process, including verifying the accuracy of hours worked.
- Expense Management : Manage field-related expenses, such as travel, accommodations, and equipment, and ensure that expenses are properly documented and reimbursed.
- Field Operations Support : Provide administrative support to field personnel, which may include supplying necessary tools, equipment, and materials.
- Inventory Management : Oversee inventory and supplies needed for field operations and ensure that field employees have access to necessary resources.
- Training and Onboarding : Provide training to field employees on timekeeping procedures, safety protocols, and company policies, especially new hires.
- Communication : Facilitate communication between field employees, headquarters, and other relevant stakeholders, ensuring that important information is shared effectively.
- Record Keeping : Maintain organized records related to field operations, including work orders, job site reports, and equipment logs.
- Emergency Response : Develop and implement emergency response plans for field personnel in case of accidents, natural disasters, or other unforeseen events.
- Continuous Improvement : Identify opportunities to streamline field operations and administrative processes making recommendations for improvements.
