Location: Chicago, IL
Pritzker Private Capital (PPC) is looking for an Executive Assistant to support one of our investment teams. This role will assist 3-4 personnel in our Chicago office.
Responsibilities:
- Coordinate calls and meetings (internal and external) and send out corresponding calendar invitations
- Set up conference calls, video conferencing and projector equipment, and book conference rooms for events and meetings
- Prepare conference rooms for meetings, as well as breakdown of room post-meeting
- Maintain multiple calendars and high volume email traffic, responding in a timely manner
- Book heavy domestic and international travel arrangements (flights, hotels, ground transport) and detailed travel itineraries
- Track business expenses and receipts, log and prepare expense reports
- Create and maintain documents in PowerPoint, Excel and Word
- Provide back-up assistance to other team EA's as needed
- Support the conference center (answering phones/seating guests) as needed
Qualifications:
- Bachelor’s Degree
- 5 years of experience in a professional office environment required, financial services preferred
- Experience with Concur for travel and expenses preferred
- Experience with Outlook required
- Ability to treat sensitive/confidential information with appropriate discretion
- Strong sense of urgency, adaptability, flexibility, and resourcefulness
- Exceptional Microsoft Office Suite capabilities
- Strong written and verbal communication skills and attention to detail
- Highly self‐motivated and self-starter
- Flexibility to operate in a constantly evolving and fast paced environment
- Excellent time management skills and ability to multi-task and prioritize work
