Job Summary:
The Front Desk Receptionist will be the first point of contact for residents and visitors, handling a variety of tasks including customer service, office duties, and administrative responsibilities. The ideal candidate will have experience in office settings and a strong ability to manage customer complaints, all while maintaining professionalism. The role involves selling items to residents, auditing renter records, managing phone calls, and assisting with daily office operations.
Key Responsibilities:
- Greet and assist residents and visitors in a friendly, professional manner.
- Process sales of community-related items (e.g., parking permits, amenities, etc.) to residents.
- Conduct audits of renter information in the system to ensure records are accurate and up-to-date.
- Answer and manage incoming phone calls, addressing inquiries and directing calls as necessary.
- Handle customer complaints or concerns with patience, empathy, and professionalism.
- Perform general office duties, such as filing, organizing, and maintaining office supplies.
- Ensure smooth operation of front desk services and communicate any operational issues to management.
- Maintain confidentiality and handle sensitive information with care.
Qualifications:
- Previous office experience required, with a focus on customer service.
- Strong phone etiquette and the ability to manage high call volumes.
- Exceptional communication and interpersonal skills, especially when dealing with irate or upset customers.
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and manage time efficiently in a busy office environment.
- Attention to detail and organizational skills.
- Professional demeanor and ability to maintain composure under pressure.
Preferred Qualifications:
- Experience in property management or working with a Homeowners Association (HOA).
- Bilingual (English/Spanish) a plus.
