About being our Office Administrator
We're seeking an organized, friendly, and professional individual to fill the role of Office Administrator in the Roseville office. In this position, you'll be responsible for managing day-to-day office operations, coordinating and performing administrative tasks, supporting staff with various needs, and ensuring a smooth, productive, and inviting office environment. The ideal candidate will be an excellent communicator, proactive and have the ability to prioritize tasks effectively.
Responsibility Highlights for our Office Administrator
- Operations & Environment: Oversee and manage daily office operations, ensuring efficient workflows and processes while maintaining an inviting, organized, and productive office environment. Manage and maintain inventory of office supplies; food and beverages for the office and conference rooms; and corporate stationery including business cards, letterhead, etc. Address all issues related to office cleanliness, maintenance, and safety. This position requires the applicant be in the office full time.
- Facilities & Vendor Management: Act as the main point of contact for office maintenance and address any building upkeep needs. Additionally, manage relationships with IT, vendors, service providers, and building management/security to ensure seamless operations.
- Event Planning & Staff Catering: Plan, coordinate, and organize both in-house and off-site office meetings, activities, and events, while also managing weekly breakfasts for the office, monthly Roseville All Staff lunch functions, and periodic meals for various departments and teams.
- Cross Functional Coordination & Collaboration: Under the discretion of the Roseville Regional Manager, serve as the primary point of contact for all office-related communications, addressing inquiries and concerns promptly and professionally. This includes coordinating with HR for on-boarding, Marketing and Corporate Communications to produce and manage internal and external communications, including the monthly office calendar, newsletters, and drafting presentations for monthly staff meetings.
Minimum Qualifications to be our Office Administrator
- 2 years of experience providing office administration, managing day-to-day office operations, and supporting office and/or field staff in a professional environment
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and general office software
- Customer service-oriented with a professional and approachable demeanor and enthusiasm for performing new tasks and incorporating them into regular job duties
- Proficient with accounting and budgeting workflows and vendor management
