We are seeking a highly motivated and organized Administrative Assistant to manage our company’s main email account and ensure prompt communication with clients. This position plays a critical role in maintaining client satisfaction by responding to inquiries, creating work orders, and keeping internal teams informed. As a residential maintenance company working with large property management firms and real estate investment groups, we operate in a fast-paced environment where immediate responses and attention to detail are essential.

Key Responsibilities

  • Email Oversight and Client Communication:
  • Monitor the company email account consistently throughout the workday.
  • Respond to client inquiries and concerns in real time with professionalism and accuracy.
  • Prioritize emails based on urgency and ensure no client communication is overlooked.
  • Work Order Management:
  • Create accurate and detailed work orders as requests come in.
  • Collaborate with the internal team to assign and update work orders.
  • Track work order progress and ensure clients are updated promptly.
  • Internal Communication:
  • Act as the liaison between clients and internal employees.
  • Send timely updates and instructions from clients to the appropriate teams.
  • Maintain clear and organized communication channels to prevent delays or miscommunications.
  • Client Relationship Management:
  • Provide exceptional customer service by addressing client concerns and questions quickly.
  • Maintain a professional and courteous tone in all communications, even under pressure.
  • Administrative Support:
  • Assist with filing, data entry, and maintaining client records related to work orders and correspondence.
  • Help streamline processes for handling incoming requests and email management.

Requirements

  • Experience:
  • Proven experience in administrative support, customer service, or a similar role.
  • Experience in property management, maintenance, or related industries is a plus.
  • Skills:
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management abilities.
  • Ability to prioritize tasks and work efficiently under pressure.
  • Proficiency in email management tools and office software (e.g., Outlook, Microsoft Office, or similar).
  • Familiarity with work order or project management systems is preferred.
