Description of Role:
The Events Executive works closely with the Senior Event Manager for end-to-end management and execution of all CORE: events including internal socials and member engagements/activations. The events executive is also responsible for managing reservations and service aspects for all event spaces, including 4 private meeting rooms.
Primary Role & Responsibilities
- Support Senior Event Manager in managing all member communications relating to events on a daily basis; reviewing and answering incoming inquiries, ensuring the highest quality experience for members are consistently delivered.
- Assist with the planning of weekly/monthly social events for the members in conjunction with the Experience Architecture team.
- Assist with the preparation of all proposals, contracts, and other event related materials.
- Ensure that pricing is appropriate and accurate on estimates and invoices.
- Arrange for and attend site visits, walk-throughs and tastings as needed.
- Make detailed BEOs and distribute them to all involved departments; Ensure information regarding event floor plans, external vendors, menus, and rental equipment requirements are communicated. Update forms as necessary.
- Oversee event set-up and service on-site as needed. Liaise between members and on-site team leaders to ensure success of event from beginning to end.
- Maintains a strong working relationship with members/guests, vendors, and competitors.
- Assist in organizing and managing marketing folders, archives, members lists and databases as it pertains to the events department.
- Work closely with other Coordinators to improve best practices and processes, with focus on providing CORE: standards of service excellence
Minimum Qualifications
- At least 3 years relevant experience in event management and coordination; fine dining restaurant experience preferred
- Strong event sales and management skills with proven track record of organizing and executing events
- Highly engaged in the industry with strong network of contacts and relationships as well as knowledge of current trends in the Events world
- Strong Computer Skills; Microsoft Office Suite and Salesforce preferred
- Strong interpersonal and communication skills; ability to communicate with chefs, F&B team and members/guests in a fast-paced environment, maintaining a hospitable manner with professionalism and poise
- Familiarity with A/V equipment and media devices; ability to set up and/or trouble shoot
- Ability to multitask and prioritize time with a high sense of urgency for problem resolution
- Ability to handle stress and remain calm under pressure
- Ability to accommodate a flexible schedule with late nights and holidays
Salary : $75,000
