JOB PURPOSE
The Office Support Specialist plays a pivotal role in ensuring the smooth operation of recruitment, onboarding, and job coaching activities. This position requires a proactive individual who excels at multitasking and thrives in a collaborative environment. The role also involves supporting HR functions and fostering workplace inclusion, particularly for individuals with intellectual and developmental disabilities (IDD).

MAIN DUTIES AND RESPONSIBILITIES
- Recruitment:
- Screen resumes and applications for staff and volunteers.
- Manage candidate tracking in the Applicant Tracking System (ATS).
- Organize and coordinate interviews with hiring managers and department heads.
- Conduct reference checks, background screenings, and other pre-employment checks.
- Onboarding:
- Prepare and distribute onboarding materials, including company handbooks, benefit packages, and employment agreements.
- Work closely with IT, facilities, and other departments to ensure that new hires have the necessary tools and equipment to start their roles.
- Act as a point of contact for new hires during their onboarding phase, addressing any questions or concerns.
- Job Coaching for Individuals with IDD
- Provide on-the-job coaching and mentorship to individuals with intellectual and developmental disabilities (IDD) in the workplace.
- Break down tasks into manageable steps and demonstrate job functions to ensure clear understanding.
- Offer guidance and support, ensuring individuals complete assigned tasks correctly.
- Monitor progress and provide constructive feedback to employees with IDD, promoting a positive learning experience.
- Assist in developing job skills, time management, and work-related social skills to enhance workplace integration.
- Promote workplace safety and ensure compliance with company policies.
- HR Administrative Support:
- Maintain accurate and up-to-date employee records, including onboarding documents, contracts, and compliance paperwork.
- Assist with HR reporting and metrics related to recruitment, retention, and onboarding.
- Support the HR team with special projects and initiatives, such as employee engagement and training programs.
All other duties assigned.
QUALIFICATIONS
- Must be 18 years of age.
- High School Diploma or GED is required.
- At least 1 years’ experience in recruitment or working with individuals with IDD.
- Ability to work independently and in a team environment.
- Must successfully complete a pre-employment background check and any subsequent background check after employment.
- Must pass a pre-employment drug and alcohol screening and will be subject to random drug and alcohol checks thereafter.
- Successfully complete employment-related training as directed.
