Roadway Concepts is a company specializing in ADA compliance for roadway safety. We seek a highly organized and detail-oriented Administrative Assistant to support our daily operations and project teams. This role ensures smooth communication, efficient documentation, and overall office organization.
Responsibilities:
1. Communication & Correspondence:
- Manage incoming and outgoing emails, phone calls, and mail.
- Serve as the primary point of contact for general inquiries and customer support.
2. Administrative Support, Document Management & Data Entry:
- Organize and maintain both physical and electronic records.
- Ensure accurate filing and easy document retrieval.
- Input data into spreadsheets, databases, and project management systems
- Generate reports and presentations based on collected data.
- Perform general office duties such as photocopying, faxing, scanning, and filing.
- Maintain office supplies and equipment to ensure operational efficiency.
- Handle sensitive information with discretion and confidentiality.
3. Project & Bid Support:
- Assist Operations Manager and Owner with administrative tasks related to construction projects.
- Research and scrub bid websites for relevant job opportunities.
- Help prepare and distribute bids and proposals.
4. Meeting Coordination:
- Schedule meetings, prepare agendas, and arrange necessary accommodations (e.g., reserving spaces, catering).
- Take and distribute meeting minutes to attendees.
Qualifications:
- Experience: 1-3 years in an administrative or office support role (construction industry preferred).
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) is required. Experience with databases or project management tools is a plus.
- Computer Literacy: Strong understanding of computer navigation, file management, and the ability to quickly learn new software or systems.
- Typing Skills: Fast and accurate typing skills are required. Ability to efficiently input and manage data with minimal errors.
- Organization & Multitasking: Ability to manage multiple priorities while maintaining accuracy and efficiency.
- Communication Skills: Strong written and verbal communication skills.
- Professionalism & Confidentiality: Ability to handle sensitive information with discretion.
