Our company is searching for an experienced, reliable, and task-oriented Office Manager.
About the Position:
Reporting directly to the Finance Director, you will play a crucial role in ensuring the smooth operation of our office. This role is 100% on-site.
Office Operations:
- Oversee day-to-day office operations, ensuring a well-organized and efficient reception area, kitchen and overall office workplace.
- Manage office supplies, equipment, and maintenance to support a productive work environment.
- Answer, screen, and direct all incoming calls.
- Take and relay messages.
- Turn on lights and televisions in the office each morning.
- Greet and assist guests arriving at the office.
- Plan weekly office events.
- Oversee facility management, including vendor management, repairs and cleaning staff.
Financial Administration:
- Assist the Finance Director in managing financial tasks, including invoicing, expense tracking, and budget management.
- Collaborate with the finance team to streamline financial processes.
Client Interaction:
- Serve as a point of contact for clients visiting the office, providing a professional and welcoming atmosphere.
- Support client meetings by coordinating logistics and ensuring a seamless experience.
Administrative Support:
- Provide administrative assistance to various teams within the company, aiding in project coordination and documentation.
- Manage calendars, schedule meetings, and handle travel arrangements.
- Provide personal administrative support to partners.
- Serve as liaison to IT provider, facilitating setup for new users and device repair/replacement.
Team Collaboration:
- Foster a positive and collaborative office culture, promoting effective communication and teamwork.
- Assist in onboarding new employees, ensuring a smooth integration into the company.
- Place team meal orders as requested.
- Organize meetings as requested.
Qualifications:
- Proven experience as an Office Manager or similar role.
- Proven ability to effectively manage budgets and expenses.
- Experience in vendor management and negotiation.
- Knowledge of HR processes and procedures.
- Excellent phone etiquette and communication skills.
- Ability to manage calendars and schedules effectively.
- Strong organizational and multitasking abilities.
- Financial acumen and experience working closely with finance teams.
- Excellent written and verbal communication and interpersonal skills.
- Proficiency in office software and tools (MS Outlook and MS Office).
- Reliable and outgoing self-starter.
