Position Overview:
The Accounting and Client Relations Specialist plays a vital role in managing the company’s financial operations and customer interactions. This position oversees invoicing, accounts receivable, accounts payable, payroll processing, and employee benefits administration, ensuring accurate and timely execution. The role also includes reviewing and billing sales orders, managing audits, and maintaining compliance with tax and vendor documentation requirements. As a customer-facing representative, the specialist communicates with clients regarding renewals and collections while maintaining positive relationships. Strong organizational and technical skills, including proficiency in QuickBooks Online and Bill.com, are essential for handling diverse administrative responsibilities, from processing transactions to managing records and supporting financial projects.

 

 

Key Responsibilities

Invoicing

  • Approve and post invoices from Autotask (AT) to QuickBooks (QB).
  • Sync invoices between QuickBooks Online and Bill.com for payment processing.

Accounts Receivable

  • Enter bank transactions into Bill.com and QuickBooks Online.
  • Receive and record customer payments.
  • Follow up with customers on past-due accounts to ensure timely collections.

Accounts Payable

  • Process payments for invoices not set on automatic payment plans.
  • Monitor and adjust payment schedules for flexibility in cash flow management.
  • Download bills and receipts, create corresponding transactions in QuickBooks, and attach supporting documentation.

Payroll & Employee Benefits

  • Request and manage employee expense reports at the end of each month for payroll processing.
  • Download payroll reports and enter them into QuickBooks Online
  • Manage Simple IRA payments and yearly enrollments

Sales Orders and Contracts

  • Review sales orders and create corresponding contracts.
  • Ensure all sales orders are billed to customers accurately and on time.

Audits and Compliance

  • Manage audits including:
    • Worker’s Compensation
    • Business Owner’s Insurance
    • Health Insurance

Administrative Support

  • Contact customers regarding annual Microsoft license renewals.
  • Send quotes for Microsoft licenses and manage renewals.
  • Receive and deposit checks via Bill.com and handle bank deposits.
  • Ensure sufficient funds are available to pay bills and credit cards.

Vendor and Tax Documentation

  • Send W-9s to vendors upon request and request W-9s from vendors for 1099 processing.

Miscellaneous

  • Handle incoming mail and maintain accurate records of received payments.
  • Provide general support for financial and administrative projects as needed.

Qualifications

  • Education: Associate’s degree in accounting, Business Administration, or related field (bachelor’s preferred).
  • Experience: 2 years in accounting, bookkeeping, or administrative roles.
  • Technical Skills:
    • Proficiency in QuickBooks, Bill.com, and Office 365
    • Strong Excel and data entry skills.
  • Soft Skills:
    • Detail-oriented and highly organized.
    • Excellent communication skills for interacting with customers and vendors.
    • Ability to work independently and manage multiple priorities.
