Job Title: Office Administrator
Reports to: Executive Director
Job Status: Full-time/36-40 hours per week
Pay: $18 - $20/hour
Position Summary
The Office Administrator will provide administrative and staff support to the general organizational operations. Working under the direct supervision of the Executive Director this position provides all necessary organizational support and is responsible for a variety of other tasks.
Essential Duties and Responsibilities
- Maintain databases with current information regarding donors, delegates, boards, member churches, fundraisers, and other information
- Perform general clerical duties
- Greet and direct office visitors, answer phones and forward messages to appropriate staff
- Record donations and send thank you notes for all donated items
- Compile, proof, and email SCIO newsletters
- Provide bookkeeping for accounts payable and receivables
- Provide monthly balance and profit loss reports for the board of directors
- Coordinate payroll twice each month
- Prepare deposits and pay monthly accounts payable
- Maintain the accounts for all grants, fundraising activities, donations, membership fees, etc
- Keep track of employee benefits, salaries, deductions, vacation, and sick time
- File all government financial reports
- Lead role in coordinating bulk mailings
- Assisting with the SCIO website and other social media
- Provide all documentation to accountant during annual audit
- Adhere to agency policy, procedures and professional code of ethics
- Participate in regular staff meetings, staff training programs, and supervisory sessions
- Contributes to maintaining the SCIO property
- Encourage and support fundraising efforts
- Work collaboratively with the SCIO leadership team to complete required reports
- Other duties as assigned
Desired Skills, Education & Experience
- Strong accounting skills, experience and or education
- Excellent organizational skills (oral and written) and the ability to excel at details, multi- tasking, and working under pressure
- Experience in Word and Excel. Experience in Google for Nonprofits, Little Green Light, Canva, Constant Contact, and QuickBooks Online a definite plus
- Experience and confidence working independently in managing an office
- A strong sense of and respect for confidentiality and handling sensitive information ethically and appropriately
- Ability to work in a variety of settings with diverse families and communities with the ability to be culturally sensitive and appropriate
Other Job Requirements
- Valid driver’s license
- Ability to pass a background check & pre-employment drug screen required
- Ability to use up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently and/or up to 10 pounds of force continuously to move objects and/or people
- Ability to bend, stoop, twist, turn, reach, lift, carry, pull, climb, and kneel, with frequent walking and standing
- Ability to recognize differences in sound, such as voices/noises that are loud and playful instead of angry and combative, and the ability to differentiate tone and volumes in conversations
