Shift Community Cycles is a full service, non-profit community bike shop. Our mission is to help our underserved communities access bikes, services, and education here in Lane County.

Job Summary:
Shift is seeking a motivated Administrative Assistant to facilitate and assist our Executive Director, marketing and management team by performing a variety of clerical and administrative tasks.
Duties/Responsibilities:
- Assists management to improve and streamline communication both internally and with the general public.
- Categorizes, responds and files email correspondence as directed. • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed. • Responds to and resolves administrative inquiries and questions. • Coordinates and schedules of meetings and appointments for Executive Director or supervisors.
- Prepares agendas and schedules for meetings, taking meeting notes; categorizing, responding, and filing emails,
- Processes invoices for Executive Director approval
- Maintains office supplies and coordinates maintenance of office equipment. • Stays up-to-date with the latest news and industry trends.
- Provide responsive, courteous assistance to internal and external customers as we have an emphasis of working with underserved communities
- Build and maintain positive working relationships with volunteers, board members and staff.
- Able to manage fast paced work environment
- Learn, modify, and create systems/protocols
- Use Lightspeed POS to capture valuable metrics that benefit the 501c3 as well as run reports
- Performs other related duties as assigned.
Required Skills and Abilities:
- Excellent verbal and written communication skills, including proficiency in grammar, spelling,editing/proofreading.
- High level organizational and planning skills, plus an eye for detail and a willingness to mentor others.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite and Google Suite software.
- Problem solving: The ability to think on your feet and find solutions when problems arise.
- Strong organizational and time management skills, excellent verbal and written communication skills, ability to multitask and prioritize tasks effectively • Keeping information confidential
- Ability to work independently.
Education and Experience:
- High School Diploma or GED
- 2-3 years in an administrative assistant role.
- Bilingual preferred
- Prefer experience with Lightspeed software or similar bike shop point of sale systems
- Nonprofit and or community bike shop experience is a plus
PHYSICAL REQUIREMENTS:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times
- Occasional standing and walking
- Occasional lifting up to 20 pounds.
- Continuous use of hands in repetitive tasks such as simple grasping, twisting/turning of wrists; finger dexterity to perform various computer word processing or data entry on spreadsheets.
- Frequent talking in person and on the telephone.
- Frequent hearing in person and on the telephone.
- Continuous clarity of vision of 20 inches or less.
Job Type: Part-time
Pay: $19.00 - $22.00 per hour
Expected hours: 30 – 34 per week
