ROLE AND RESPONSIBILITIES
Administrative Assistant (ADMIN) is to perform a variety of administrative and clerical tasks. Duties include providing support to our Assistant GM and General Manager. Main duty is to handle all incoming clients such as calls, emails, and or walk ins. Assisting in daily office needs and managing our company’s general administrative activities. Responsibilities include meeting arrangements, preparing reports/bids and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and Quickbooks. Previous experience with AUTOCAD LT is a plus but not required. A basic understanding of garage door parts and its functions. RESPONSIBILITIES
-Arrive on time every day as scheduled
-Check emails for new bids/shop drawings
-Accounts payable/receivable daily
-Settle QuickBooks accounts and banking statements
-Maintain a clean front office, bathrooms, showroom and breakroom
-Cold calling potential new clients is required
-Creating bids and invoices.
-Answering phone calls.
-Starting all bid files and tracking all filings throughout the manufacturing process.
-Sending and follow up on all bids and Invoices.
-Insurance and building requirements
-Assistant the General Manager as needed.
-Other tasks and assignments as given.
REQUIREMENTS
2 years experience of recent Office Assistant, Secretary or Administrative Assistant required
Quickbooks, and Excel required. AutoCAD is a major advantage
Typing Skills of 40 wpm
Good understanding of quality control principles and service.
Good communication skills (verbal and written)
High school diploma required; and or a higher degree is welcome.
Schedule
Monday-Friday 8:00am-3:30pm
