SMILE Mass is a 501C3 non-profit whose mission is to provide recreational, educational and vacation opportunities to disabled adults and children. SMILE Mass’ fastest growing program, Club SMILE Mass, hosts our weekly services at a local gym and pool for over 70 children and young adults. Activities include one-on-one gym, swim, music therapy, story time, and so much more.
Job Overview: We are seeking a detail-oriented and proactive Administrative Assistant to support our team at SMILE Mass. This position will primarily involve handling scheduling, interacting with clients, managing appointments and reminders, document, invoicing and billing preparation and review, as well as assisting clients with general inquiries and administrative tasks.
Responsibilities:
- Manage scheduling of appointments and maintain calendars.
- Interact with clients to provide information, answer inquiries, and assist with scheduling and payment options.
- Manage monthly invoices and record payments.
- Prepare, review, and archive documents ensuring accuracy and adherence to organizational standards.
- Maintain and update records and files, both physical and digital, with high attention to detail.
- Support team members in achieving common goals and objectives.
- Develop and maintain positive relationships with clients and stakeholders.
- Listen attentively and respond appropriately to client concerns and queries.
- Utilize Windows-based computers proficiently, including MS Word/Google Apps and ability to learn new software systems as required. Salesforce experience a plus.
- Maintain punctuality for remote and occasional in-person meetings.
Qualifications:
- Proven experience as an Administrative Assistant or similar role.
- Excellent interpersonal and communication skills.
- Ability to prioritize tasks and manage time effectively in a remote work environment.
- Proficiency in using MS Office/Google Apps and familiarity with social media platforms. Salesforce experience is a plus.
- Strong attention to detail and organizational skills.
- Ability to work independently with minimal supervision.
- Compassionate and patient demeanor, especially when dealing with clients.
Additional Information: This is a remote position with occasional in-person meetings and events. The ideal candidate will be self-motivated, reliable, and dedicated to supporting the mission of SMILE Mass.
