The Scheduling Coordinator is responsible for answering calls/texts, reviewing schedule, coordinating dentist and hygienist schedule, checking in/out patients, and assisting patients with the processing of dental insurance claims and management of relationships with insurance carriers.
Patients may inquire about scheduling, insurance questions, billing, treatment plan information, fees, or dental treatment questions.
Contacts insurance companies and patients regarding coverage determinations and outstanding balances. Researches and resolves insurance billing issues. Sets up any financial arrangements and collects payments from patients and insurance companies. Manages outstanding insurance claims. Works with Practice Manager to ensure dental team complies with established collection procedures. Ensures integrity of daily deposits.
ESSENTIAL FUNCTIONS
- Coordinate, integrate, and represent all facets of patient services
- Meet and greet patients and make them feel welcomed and relaxed

- Communicate with patients regarding scheduling options
- Maintain patient records and coordinate patient flow
- Manage and control the daily, weekly, and monthly schedule to meet the practice production and collection goals
- Compile data and operate office equipment to maintain business records and reports
- Moderate noise levels from dental and other lab equipment.
- Dental, office, and lab setting.
- Exceptional hand dexterity and typing skills to work with standard software
programs provided.
- Good mathematical aptitude in order to prepare and interpret financial reports,
collect and track
payments and account balances, and maintain financial integrity for the practice.
- Near Vision.
- Primary responsibility for cash flow.
- Balance deposits daily. Ensure timely deposit of funds into bank account.
- Process insurance payments and ensure timely collection from patients and
insurers.
- Attention to detail in posting payments properly considering multi-office
environment.
- Ensure electronic insurance deposits are posted to patient accounts (and
balance) as the funds are in the bank account.
- Prepare and present financial arrangements and insurance options that meet
both patients’ and practice’s needs for proposed treatment plans.
- Maintain knowledge of dental insurance and use independent judgment
regarding coverage and insurance claims. Resolve billing disputes with little
supervision.
- Daily attention to resolving insurance claim issues such as requests for
additional information and denials.
- Manage outstanding insurance claims and maintain no less than 90% of
outstanding claims in the “current” category.
