- Greet Visitors: Welcome clients, customers, or guests in a professional and friendly manner, making them feel comfortable and attended to.
- Answer Phones: Manage incoming phone calls, direct calls to appropriate staff, and take messages when necessary.
- Manage Front Desk Operations: Maintain the reception area's cleanliness, ensuring it is organized and presentable for visitors.
- Handle Mail and Deliveries: Sort and distribute incoming mail, manage outgoing mail, and coordinate courier services or deliveries.
- Schedule Appointments: Organize and manage schedules for executives or other staff, including booking meetings, conference rooms, and coordinating calendars.
- Customer Assistance: Provide basic information to customers or visitors and handle inquiries professionally.
- Data Entry: Enter data into systems or spreadsheets, ensuring information is accurate and up to date.
- Filing and Document Management: Organize and maintain both physical and digital files, including contracts, reports, and correspondence.
- Office Supply Management: Monitor office supplies, reorder when needed, and ensure proper inventory levels.
- Correspondence: Draft and send emails, letters, memos, or other forms of communication on behalf of the company or staff.
- Support to Other Staff: Assist other employees by preparing documents, reports, and presentations, or gathering necessary information.
- Expense Tracking and Billing: Assist with basic financial tasks, such as tracking expenses, processing invoices, and preparing billing documents.
- Maintain Office Systems: Help with setting up conference calls or troubleshooting office equipment like printers or fax machines.
- High school diploma or equivalent- Associate's degree in Business or related field preferred but not required.
- Previous experience as a receptionist or administrative assistant, preferably in a professional services environment.
- Familiarity with billing and invoicing procedures, experience with accounting or billing software a plus.
- Excellent verbal and written communication skills.
- Strong organizational skills with attention to detail.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
