Square One is a private nonprofit organization in Springfield, Mass. Our programs include early education and care, home-based care settings located throughout greater Springfield and out of school time care for elementary school age children. Our parent education, support and training programs are offered through groups, home visitation and personalized case management to help parents access whatever services are needed to be successful in their role as their child’s first teacher.
We are currently looking for Vice President of Operations interested in joining our team!
Qualifications:
- Advanced degree in Business/Accounting or related field is highly desired.
- Demonstrate successful leadership and senior-level management experience within non-profit and/or educational field preferred.
- Strong knowledge of facilities management, information technology and operational systems.
- Excellent organizational, project management and problem solving skills with ability to multi-task
- Results driven with computer proficiency skills in MS office
- Highly organized with an attention to detail
- Strong financial management skills, including budgeting and cost control with knowledge of nonprofit regulations and compliance requirements.
- Ability to work collaboratively with diverse teams and stakeholders.
- Familiarity with technology tools and platforms that support nonprofit operations.
DESCRIPTION OF DUTIES
Vice President of Operations (VP of Operations) is responsible for overseeing the day-to-day operations of the organization, ensuring the efficient delivery of its mission and services while playing a critical role in managing operations, optimizing processes, and ensuring the smooth functioning of internal systems and infrastructure.
Operational Leadership
- Lead and oversee the daily operations of the nonprofit, ensuring alignment with the mission and strategic objectives.
- Implement and improve operational systems, processes, and best practices to drive efficiency and effectiveness.
- Develop, monitor, and adjust operational strategies to ensure the delivery of high-quality programs and services.
- Collaborate with the finance team to develop and manage operational budgets.
- Monitor expenditures, ensure cost-effective use of resources, and seek out opportunities for financial savings while maintaining quality services.
- Prepare regular reports on operational performance for the executive leadership team and the board of directors.
- Maintains working relationship with appropriate local, state and federal professional organizations, community services, attends professional meetings, interprets the program to various sections of the community and accepts public speaking engagements when requested.
- Identify potential operational risks and develop mitigation strategies.
Information/Technology Equipment Systems Management
- Supervise, train, and evaluate staff and vendors operating in the IT/Security systems.
- Oversee and train staff to utilize agency systems including but not limited to Procare Database System used to support Square One Early Learning and Care.
- Oversee the selection and implementation of technology tools that support operational efficiency.
Facility and Asset Maintenance
- Supervise, hire, train, and evaluate personnel in the Facilities Maintenance Department.
- Secure appropriate insurance and negotiate utilities for multi-operational facilities.
- Expand service contracts for maintenance, including but not limited to: waste management, snow removal, cleaning, repair, and security.
Fleet Management
- Develop and implement strategies for fleet management, including acquisition, maintenance, and disposal of vehicles.
- Ensure alignment of fleet operations with overall company goals, objectives, and budget constraints.
- Establish regular preventative maintenance schedules to reduce breakdowns and extend vehicle life.
- Ensure vehicles undergo timely inspections, servicing, and necessary repairs.
- Develop protocols for managing emergency breakdowns, ensuring minimal downtime and disruption.
- Oversee the acquisition of new vehicles, including purchasing, leasing, or renting, depending on business needs.
- Evaluate and decide when vehicles should be retired, sold, or replaced, ensuring a balanced approach to fleet size and cost.
- Manage vendor relationships for vehicle purchases, repairs, and leasing contracts.
- Develop relationships with key suppliers and vendors for vehicle parts, maintenance services, fuel, and other operational needs.
- Negotiate contracts with external vendors for fleet-related services, ensuring the best pricing and service levels.
Food Service Management
- Supervise Nutrition and Food Service Coordinator to support daily food preparation and meal service, ensuring that food is nutritious, safe, and served in a timely manner to beneficiaries.
- Budgeting & Cost Control: Develop and manage the food service budget. Monitor expenses, track inventory, and ensure food is sourced efficiently, minimizing waste.
- Support efforts to create efficient management of inventory, food ordering process and manage procurement with vendors to ensure cost-effective purchasing.
- Ensure that all food service programs are compliant with any relevant funding or grant requirements.
Job Type: Full-time
Pay: $75,000.00 - $85,000.00 per year
