St. Mary's Early Childhood Center is seeking a detail-oriented and friendly Secretary to join our team and help keep our office running smoothly. With over 60 years of providing high-quality early childhood education, we are dedicated to creating a welcoming and organized environment for both children and families. As a Secretary, you will play a key role in supporting the administrative functions of our center, managing communication, and assisting with daily operations. Location: Gilliatte (Lawrence), Thompson (MLK & 10th), 42 & Broadway, or Seeds of Hope/Grimes Family Center
Status: Full Time
Reports to: Site Administrator
Primary Functions: Provide hospitality for families, volunteers, and donors and attend to the needs of the office.
Essential Functions:
- Show respect for children and families of varying cultures.
- Make the safety of all children the top priority.
- Open the building each day, turning on lights, opening classrooms, unlocking front entrance, making the building welcoming to incoming families and children.
- Greet and assist families and children learning their names and faces
- Check children and families in as they enter the building, monitoring sign in
- Communicate with families with needed information, requests
- Perform General Office Duties supporting Office Manager
- Other duties as necessary to ensure efficient functioning of St. Mary’s Early Childhood Center
Position Specifications/Requirements:
- Good organization and planning skills
- Take and give direction well.
- Ability to organize and manage workload to meet deadlines
- Work with databases, Microsoft Office products, email, and other tools related to the role
- Process and maintain large volumes of documentation
- Good interpersonal skills
- Self-motivated, ability to work with minimal supervision
- Ability to manage multiple projects and priorities simultaneously
- Ability to maintain confidentiality is required.
- Willingness to foster the mission of the Archdiocese of Indianapolis.
- Acceptance of the beliefs and ways of the work of SMECC.
- Understand and comply with Archdiocese of Indianapolis Code of Conduct
Education, Training, And Experience:
- Must be able to understand and to comply with the Archdiocese of Indianapolis Code of Conduct
- Must be able to successfully complete the Archdiocese of Indianapolis Child Safety Training.
- Archdiocesan Background screening required
- Complete OECOSL, FSSA licensing requirements: fingerprints, consent to inform, drug test, physical, and annual TB test.
- Minimum of high school diploma or equivalent. Spanish preferred.
Working Environment: The duty of this position is to ensure the safety of the child by screening all who enter and keeping entrances secure. Sitting and standing for extended periods of time, navigating through the school, bending, stooping, and occasionally lift 30 pounds. Work in a busy office setting, greeting families, children, donors, and all coming to the building entrance with high noise level. Manage high levels of stress.
