Job Description :

The role involves a variety of responsibilities aimed at ensuring smooth operations within the company. Key duties include :

  • Visitor Management : Obtaining visitor names, arranging appointments, monitoring access, and issuing passes.
  • Employee Badges : Creating new or replacement badges for employees.
  • Information Provision : Providing callers with company information such as address, directions, fax numbers, and website details.
  • Mail Services Coordination : Coordinating express mail services for the department.
  • List Maintenance : Maintaining various lists for the department and company.
  • Administrative Support : Assisting with photocopying, faxing, filing, collating, and distribution reports.
  • Office Supplies Management : Placing orders, receiving, and stocking office supplies and consumption items.
  • Conference Room Management : Making future appointments and answering inquiries for all conference rooms.
  • Mail and Message Distribution : Collecting and distributing mail and messages.
  • Task Management : Handling multiple tasks simultaneously, including maintaining reception cleanliness and conference rooms.
  • IT Gear and Software Management : Specialized purchasing of IT gear, software licenses, maintenance, and subscriptions.
  • Cell Phone Management : Managing COPE phones, phone lines, ordering phones, troubleshooting issues, and vendor management for cell phone services.
  • Device Management : Managing laptops and tablets.
  • Purchase Order Creation : Creating purchase orders for IT and reconciling invoices.
  • Security and Printer Management : Managing security vendors and printer services.
