Job Overview: Stackhouse Management is seeking a highly organized and detail-oriented Infrastructure Administrative Coordinator to support our operations team. This role plays a crucial part in ensuring efficient project tracking, regulatory compliance, and effective data management. The ideal candidate will have experience in administrative support, project financial tracking, and cross-team collaboration. They must also demonstrate strong problem-solving skills, attention to detail, and the ability to manage multiple priorities efficiently.
This role is based at our office in Durham, NC, and requires in-office presence at least four days per week.
Key Responsibilities:
Regulatory Compliance & Tracking:
- Monitor and track state agency notices, ensuring timely response and proper documentation.
- Manage permit expiration dates, renewals, and ensure compliance with regulatory requirements.
Data Management & Reporting:
- Maintain accountability for Metron meters and Stackhouse Management Water Signal accounts, ensuring accurate tracking and reporting.
- Input and update monthly water usage data, project updates, and expense reports into the company dashboard, ensuring data accuracy and timeliness.
Project Coordination & Documentation:
- Maintain and organize project-related documentation, ensuring files are complete, up-to-date, and accessible to key stakeholders.
- Assist in the scheduling of vendor services, ensuring alignment with project timelines and budgets.
Financial & Administrative Support:
- Assist with financial tracking, including data entry, budget monitoring, and invoice processing.
- Support project managers by maintaining records of project financials, tracking expenditures, and ensuring projects stay within financial parameters.
Collaboration & Communication:
- Work closely with internal teams and external vendors to ensure seamless coordination of project activities.
- Provide administrative support across departments as needed, ensuring operational efficiency.
Required Qualifications:
- Proven experience in administrative roles, project coordination, or a related field.
- Strong proficiency in data entry, financial tracking, and project management software.
- Knowledge of document management systems and best practices.
- Excellent organizational skills with strong attention to detail.
- Ability to work independently while collaborating effectively with multiple teams.
- Strong written and verbal communication skills.
- Ability to manage multiple tasks and prioritize work effectively.
Preferred Qualifications:
- Familiarity with Metron meters, Water Signal accounts, or similar systems.
- Experience with compliance and safety protocols in infrastructure or property management.
- Prior experience in project financials, including budgeting and expense tracking.
