- Administrative Support:
- Provide comprehensive support services to the Executive Director to ensure outstanding communication and responsiveness.
- Manage sophisticated calendar arrangements, prioritize inquiries and requests, troubleshoot conflicts with little guidance, and make judgments and recommendations to ensure smooth day-to-day engagements.
- Support the Executive Director with internal and external communications.
- Conduct research, analysis, and compile reports on issues of priority to the Executive Director.
- Manage a high volume of requests and projects to meet the objectives of the Executive Director.
- Coordinate and facilitate communication between departments, ensuring alignment with the Executive Director’s directives.
- Provide support to other senior staff as needed.
- Office Management:
- Oversee office supplies and equipment inventory.
- Prepare and edit correspondence, presentations, reports, and memos.
- Prepare and organize meeting materials, agendas, and minutes in accordance with FOIA.
- Organize logistics for various meetings, events, and retreats for the agency and Commission.
- Serve as a liaison to the members of the State Election Commission.
- Maintain quality filing, both electronic and physical, ensuring accurate and organized records and communication systems.
- Handle sensitive information with the highest level of confidentiality and discretion.
- Additional Responsibilities:
- Support the Executive Director in strategic communications, organizational strategy, and all other special projects as assigned.
- Manage all scheduling and travel logistics for the Executive Director and other management team members.
- Assist in other administrative tasks as needed.
- Extended work hours and some travel will be required.
Minimum And Additional Requirements
A bachelor's degree in political science, public administration, business administration, public relations, communications, marketing, or similar field.
- At least five years of related work experience in an executive assistant or similar administrative role, preferably in a government or public sector environment.
- Familiarity with the functions and processes of South Carolina state government.
- Strong interpersonal skills with the ability to take initiative, multi-task, be a team-player, be flexible, adapt to shifting priorities, and prioritize work.
- Ability to handle high-pressure situations with poise and efficiency.
- Excellent communication skills, both verbal and written. Demonstrated writing and analytical skills. Excellent organizational skills, commitment to accuracy, and strong attention to detail.
- Ability to access a wide range of sources and networks for information. Good judgment and ability to function independently.
- Good working knowledge of all Microsoft Office applications, Google Suite, and social media web platforms. Highly experienced in electronic communications.
- Ability to manage up.
- Ability to handle sensitive and confidential situations and documentation with diplomacy and discretion. Strong ethical standards and a commitment to public service.
