Job Summary:
We are looking for a highly organized and detail-oriented Tax Administrative Assistant to join our tax department. This role will be a client relationship manager using our client portal, provide administrative support to the tax team, assisting with various tax-related tasks, managing documents, scheduling meetings, and ensuring the smooth operation of daily tax functions. The ideal candidate will have strong organizational skills, a proactive attitude, and an understanding of basic tax processes.
Key Responsibilities:
- Team Collaboration:
Work closely with tax professionals to ensure tasks are completed efficiently and deadlines are met. Support team members with ad-hoc administrative tasks as required. - Client Interaction:
Communicate with clients and third parties to request information and documents needed for tax processing. Ensure timely follow-up to gather required data. - Document Management:
Organize, maintain, and file tax-related documents, forms, and records, ensuring accuracy and compliance with regulatory standards. Assist with preparing documents for audits, tax filings, and reviews. - Data Entry & Maintenance:
Input and update tax data into systems or spreadsheets, ensuring accuracy and completeness of information. Help maintain electronic and physical filing systems for tax records. - Tax Filing Support:
Assist with preparing tax return documentation by gathering and organizing necessary supporting documents within CRM & client portal. Help in the collection of client information and other materials required for tax filing. - Research Assistance:
Conduct basic research on tax-related topics as needed. Assist the tax team in gathering information regarding tax laws, regulations, and forms. - Tax Payment Processing:
Assist in managing tax payment deadlines, ensuring that payments are made on time and filing requirements are met. Help with tracking and reconciling tax payments. - Administrative Support:
Provide general administrative support to the tax team, including scheduling meetings, managing calendars, and handling correspondence. Ensure timely communication between team members and external stakeholders. - Office Organization:
Help maintain an organized work environment by ordering supplies, managing office inventory, and ensuring the smooth operation of office equipment and systems.
Skills & Qualifications:
- Technical Skills:
Proficiency in Microsoft Office Suite especially Excel. Familiarity with remote desktop environment, accounting or tax software (e.g., QuickBooks, Proseries, Drake, etc.) is a plus. - Confidentiality:
Ability to handle sensitive and confidential information with discretion and professionalism. - Organizational Skills:
Strong organizational skills with the ability to manage multiple tasks simultaneously and prioritize effectively. High attention to detail and accuracy is essential. - Communication Skills:
Excellent verbal and written communication skills. Ability to interact with clients and team members in a professional manner. - Time Management:
Ability to meet deadlines, manage a high volume of tasks, and work under pressure. Track time and billings to clients. - Experience:
1-2 years of administrative experience, preferably in a tax or accounting environment. Experience in an office setting with exposure to financial or tax-related work is desirable. - Educational Background:
A high school diploma is required; an associate degree in business, accounting, or a related field is preferred. Prior coursework or experience in tax and accounting-related areas is a plus.
Preferred Qualifications:
- Ability to work independently and in a team environment.
- Strong problem-solving skills and a proactive approach to work.
- Knowledge of tax terminology, forms, and processes is a plus, but not required.
