Job Summary
Sunset Memorial Gardens, Inc. is a cemetery located in Fargo, ND. We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office. The ideal candidate will possess strong administrative skills, exceptional communication abilities, and a knack for supervising the Office Assistant along with volunteers. This role requires proficiency in managing vital operations such as various sales activities, bookkeeping, and data review/entry into our cemetery management system, while maintaining an efficient office atmosphere.
Responsibilities
- Manage daily office operations, ensuring efficiency and effectiveness in all administrative tasks.
- Supervise front desk activities, including greeting visitors and handling incoming calls with professionalism and courtesy.
- Maintain phone systems, ensuring clear communication within the office and with external stakeholders.
- Organize and fulfill clerical tasks such as filing, data entry into CIMS, and document management to support overall office functionality.
- Implement organizational strategies to enhance workflow and productivity within the office.
- Communicate effectively with Board of Directors, Contractors, and Volunteers, providing guidance and support as needed.
- Ensure compliance with company policies and procedures while fostering a positive work environment.
- Accurately and efficiently enter bookkeeping activities via Quickbooks
Qualifications
- Proven experience in office management or a related administrative role.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Ability to think out-of-the-box to solution problems with unique scenarios
- Excellent verbal and written communication skills; proficient in phone etiquette.
- Familiarity with office equipment and technology, including phone systems, printers, scanners, and computer software applications such as MS Office.
- Ability to supervise staff and volunteers while promoting teamwork and collaboration.
- Detail-oriented with strong clerical skills to maintain accurate records.
- A proactive approach to problem-solving with a focus on continuous improvement.
- Prior experience with Quickbooks is a plus
- Notary Public is a plus, but not required
Due to the unique responsibilities, there will be a hands-on training period of up 5 months.
Expected working hours are Monday thru Friday, 9am to 3pm. 30hrs PTO/yr. Paid Federal Holidays, except Memorial Day is a required working day.
